About the Role

Olimax Industrial Parts and Engineering UK Ltd is looking for an organised, technically minded and proactive Maintenance Planning Coordinator to support the scheduling and delivery of preventive, corrective and planned maintenance activities.

The successful candidate will coordinate maintenance schedules, engineer availability, spare-parts requirements, work orders and service documentation. They will work closely with maintenance engineers, technical specialists, procurement teams, warehouse employees, suppliers and customer representatives to ensure that equipment is serviced safely, efficiently and with minimal operational disruption.

This role is suitable for a maintenance, engineering or operations professional with practical experience in planning technical work, coordinating resources and maintaining accurate service records.

Key Responsibilities

Prepare preventive and planned maintenance schedules
Coordinate corrective maintenance and urgent repair activities
Create and maintain maintenance work orders
Schedule engineers, technicians and external service providers
Confirm labour, tools and spare-parts requirements
Review equipment-maintenance histories and service intervals
Prioritise work based on safety, operational impact and urgency
Coordinate planned shutdown and equipment-access requirements
Liaise with customers regarding maintenance dates and site access
Confirm appointments, permits and operational restrictions
Maintain weekly and monthly maintenance calendars
Monitor outstanding work orders and overdue activities
Track maintenance progress from request through completion
Update work-order status and completion information
Review completed job sheets and engineer reports
Check that maintenance records are complete and accurate
Record equipment defects and recommended follow-up actions
Coordinate return visits and additional repair requirements
Monitor equipment downtime and recurring technical issues
Maintain asset registers and service-history records
Update equipment details, serial numbers and location information
Support the development of maintenance plans for new equipment
Coordinate spare-parts availability before scheduled work
Submit parts requests to procurement and warehouse teams
Monitor open purchase orders and expected delivery dates
Follow up on delayed or unavailable components
Reserve parts for scheduled maintenance activities
Maintain minimum stock recommendations for critical components
Coordinate specialist tools, lifting equipment and access equipment
Liaise with suppliers and equipment manufacturers
Request technical information, quotations and service availability
Support the coordination of warranty repairs
Maintain records of warranties and service agreements
Monitor contractor documentation and certification
Help ensure that maintenance activities follow safety procedures
Support risk-assessment and permit-to-work processes
Maintain inspection, testing and compliance records
Prepare maintenance-performance reports
Track planned-maintenance completion rates
Monitor backlog, downtime and response-time indicators
Analyse recurring faults and maintenance trends
Highlight risks, resource constraints and scheduling conflicts
Support maintenance-budget and cost-tracking activities
Check supplier invoices against completed work
Maintain maintenance procedures, checklists and templates
Participate in maintenance-planning and operational meetings
Communicate schedule changes to relevant stakeholders
Support continuous improvement of maintenance-planning processes

Qualifications and Experience

Diploma, degree or professional qualification in Engineering, Maintenance, Operations, Logistics or a related subject
At least two years of experience in maintenance planning, engineering coordination or technical operations
Experience scheduling preventive or corrective maintenance activities
Understanding of work orders and maintenance workflows
Ability to coordinate engineers, contractors and suppliers
Experience maintaining equipment or asset records
Understanding of spare-parts and inventory requirements
Ability to prioritise work according to operational risk
Strong organisational and planning skills
Excellent attention to detail
Ability to manage multiple schedules and deadlines
Strong communication and stakeholder-management skills
Confidence communicating with technical and non-technical employees
Ability to investigate delays and resolve scheduling conflicts
Good numerical and administrative skills
Experience preparing reports and maintaining documentation
Good knowledge of Microsoft Excel, Word and Outlook
Ability to use maintenance, asset or work-order systems
Ability to work independently and collaboratively
Right to work in the United Kingdom

Preferred Experience

Experience in industrial engineering, manufacturing or equipment maintenance
Familiarity with computerised maintenance-management systems
Knowledge of preventive and predictive maintenance principles
Experience using SAP, Maximo, Fiix, MaintainX or similar systems
Familiarity with pumps, motors, furnaces or industrial machinery
Experience coordinating field-service engineers
Knowledge of technical spare-parts management
Familiarity with equipment manuals and technical drawings
Experience supporting planned shutdowns
Understanding of health and safety requirements
Knowledge of permit-to-work procedures
Experience coordinating external maintenance contractors
Familiarity with supplier and warranty-management processes
Experience using Power BI or reporting tools
Knowledge of root-cause analysis and continuous-improvement methods
Experience working with engineering customers or industrial sites

Pay: £28,000.00-£40,000.00 per year
