Office Administrator (Part-Time/Full time) – Supporting Care Redbridge Ltd

Location: Redbridge, London
Job Type: Part-Time /Full time

Supporting Care Redbridge Ltd is seeking a reliable, organised, and professional Office Administrator (Part-Time) to support the day-to-day administrative operations of our growing domiciliary care agency. This is an excellent opportunity for someone with strong administrative, organisational, and communication skills who is passionate about supporting a high-quality care service and ensuring the smooth running of the office.

Key Responsibilities

Provide general administrative support to management and the wider team
Maintain accurate and up-to-date records for service users, employees, and company documentation in accordance with GDPR and company policies
Handle incoming telephone calls, emails, and correspondence professionally and efficiently
Support the onboarding process of new employees, including recruitment administration, compliance documentation, and induction arrangements
Monitor staff compliance requirements, including DBS checks, right-to-work documentation, training records, and other employment-related documents
Maintain and update office filing systems, both electronic and paper-based
Prepare letters, reports, spreadsheets, and other documentation as required
Assist with data entry, record keeping, and database management
Support payroll administration by maintaining accurate staff records and timesheet information
Coordinate meetings, appointments, and training sessions, including preparing agendas and taking minutes when required
Order and maintain office supplies and equipment
Liaise with employees, service users, families, healthcare professionals, local authorities, and other stakeholders where required
Respond promptly and professionally to enquiries, complaints, incidents, and concerns, escalating matters when necessary
Assist with quality assurance processes, audits, and regulatory compliance activities
Support the maintenance of policies, procedures, care records, and other operational documentation
Ensure confidentiality is maintained at all times and handle sensitive information professionally
Undertake any other administrative duties reasonably required to support the effective operation of the business

Requirements

Previous experience in an Office Administrator, Administrative Assistant, Receptionist, Care Administrator, or similar administrative role
Excellent organisational and time-management skills with the ability to manage multiple priorities
Strong communication and interpersonal skills
Good knowledge of Microsoft Office applications, including Word, Excel, Outlook, and Teams
Experience maintaining records and administrative systems
Ability to work independently and as part of a team
High level of attention to detail and accuracy
Understanding of GDPR and confidentiality requirements
Ability to handle sensitive and confidential information professionally
Strong problem-solving and administrative skills
Professional, positive, and proactive approach to work
Experience within the health and social care sector is desirable but not essential
