Personal Injury | Bolton | Full-Time | Salary: £45k-£60k plus Performance Related Bonus -Dependent on Experience
THE ROLE
We are seeking an experienced and highly organised Solicitor / Office Manager to take responsibility for the day-to-day operation of a busy personal injury law firm.
This is a hands-on senior management role combining RTA personal injury expertise with leadership, workflow management, compliance, client care and operational responsibility. Working closely with and reporting to the Director, you will ensure files progress efficiently, deadlines are met, staff perform effectively and clients receive a consistently high standard of service.
KEY RESPONSIBILITIES
Office & Team Management
· Oversee the day-to-day running of the office and administrative operations.
· Manage workloads, productivity, attendance, KPIs and staff performance.
· Allocate work, conduct team meetings and provide direction and feedback.
· Support recruitment, onboarding, training and performance management.
· Maintain a professional, efficient and productive working environment.
Overall Personal Injury Case Management
· Monitor caseloads, limitation dates, deadlines and outstanding actions.
· Review files for delays, missing evidence, liability, causation and quantum issues.
· Monitor medical evidence, rehabilitation, portals and litigation processes.
· Support fee earners with complex files and escalate risks appropriately.
Compliance, Risk & Client Care
· Ensure firm procedures, SRA requirements and professional obligations are followed.
· Monitor file compliance, client identification, CFAs and onboarding requirements.
· Identify and escalate compliance, fraud, limitation and procedural risks.
· Maintain high standards of client communication and service.
· Deal with escalated client queries, complaints and vulnerable-client issues.
Costs, Reporting & Performance
· Oversee recovery of legal costs, disbursements and outstanding payments.
· Monitor settlements, file closures and financial recovery.
· Maintain accurate management information, trackers and case-management systems.
· Produce management reports and identify workflow bottlenecks.
· Monitor performance against agreed operational and financial measures.
Process Improvement
· Review and improve workflows, systems and procedures.
· Develop and implement SOPs and improved methods of monitoring workloads and deadlines.
· Reduce avoidable errors and improve file quality, efficiency and consistency.
· Work with senior management on technological and operational improvements.
ESSENTIAL EXPERIENCE & SKILLS
· Previous RTA Claims experience within a UK personal injury law firm.
· Strong understanding of the end-to-end personal injury claims process.
· Experience managing or supervising staff.
· Excellent organisation, time management and attention to detail.
· Ability to manage competing priorities in a high-volume environment.
· Strong written and verbal communication skills.
· Confident decision-maker with a proactive, problem-solving approach.
· Good IT and case-management system experience.
· Strong understanding of confidentiality and professional conduct.
· Commercial and practical understanding of running a legal department or office.
Desirable: Qualified solicitor or significant legal-practice experience; previous Practice/Office/Legal/Litigation Management experience; experience with Proclaim, claims portals, costs recovery, compliance audits and SOP development.
THE PERSON
We are looking for someone who is proactive, commercially minded, organised and confident in taking ownership. You will be comfortable leading people, reviewing files, challenging poor processes and taking responsibility for resolving problems rather than simply identifying them.
SUCCESS IN THE ROLE
Performance will be measured through staff productivity, file quality, timely progression, compliance, client satisfaction, claims progressed and settled, costs recovery, accurate reporting, reduced outstanding work and overall office efficiency.
