Customer Care Co-Ordinator - Full Time
Healthy Hearing | Oakham / Stamford

Healthy Hearing is a trusted and growing hearing care provider with centres across Rutland, Leicestershire and Dorset. We pride ourselves on delivering exceptional service with compassion, professionalism, and warmth.

We're looking for a confident, organised Customer Care Coordinator to be the friendly first point of contact in our hearing care centre, playing a crucial role in delivering an exceptional experience for every client. This is a varied, fast-paced role where no two days look the same — you'll manage appointments, support clients, and handle day-to-day centre operations, often juggling multiple priorities at once. It's an ideal role for someone who loves helping people, thrives on juggling tasks, and enjoys learning new skills, thinking on their feet, and taking ownership of their work.

Key Responsibilities

Customer Experience

Provide a warm, professional welcome to all clients, both in person and remotely.
Deliver consistently high levels of service, ensuring every client feels supported, reassured, and valued.
Offer clear, empathetic initial guidance on hearing loss and available solutions.
Build trusted relationships that support long‑term client care and retention.

Appointments & Administration

Book and manage hearing tests, six‑monthly check‑ups, and follow‑up appointments.
Confirm appointments via phone, email, and post in a timely, accurate manner.
Maintain precise client records in line with Data Protection requirements.
Manage the daily diary, ensuring all systems are up to date and accurate.
Re‑prioritise tasks throughout the day to respond to changing client and operational needs.

Sales & Client Support

Provide basic information on hearing care topics, including hearing aid maintenance.
Support clients with simple troubleshooting and aftercare queries.
Explain the importance of ongoing hearing support and regular check‑ups.

Centre Operations & Stock Management

Maintain high standards of centre presentation and visual merchandising.
Process payments and manage petty cash reconciliation.
Order, receive, record, and restock hearing accessories and related products.
Manage incoming and outgoing post.

Team & Operational Support

Work closely with the Centre Audiologist to support smooth daily operations.
Act as a Key Holder and provide holiday/sickness cover as required.
Keep up to date with product knowledge, services, and company procedures.
Use initiative to resolve issues independently and escalate appropriately when needed.

What we're looking for:

Proven customer service experience in healthcare, retail, or a service‑based environment.
Strong administrative and computer skills with excellent accuracy and attention to detail.
Confident communicator with a warm, professional manner.
Highly organised and reliable, able to manage multiple tasks in a busy environment.
Comfortable working autonomously and making decisions independently.
A genuine interest in helping people and improving quality of life.
Curious, proactive, and keen to learn — especially about hearing care and client support.

Hours: 37.5 hours per week, including Saturdays (9.00am–1.00pm)

Salary: Competitive, depending on experience
