They want to know what’s happening, who is dealing with it and when it will be finished. They spot mistakes other people miss, enjoy bringing order to moving parts and take genuine satisfaction from knowing everything is under control.

We’re Brilliant Decorators Ltd - a growing decorating company based in Yorkshire, delivering high-quality residential and commercial decorating projects all across the UK.

We’re looking for a Sales & Office Coordinator to join our York office and help keep the business organised, responsive and moving forward.

This is initially a part-time position, working Monday to Friday from 8:00am until 1:00pm, with the aim of developing it into a full-time 8:00am–4:00pm role within the next 12 months.

This Isn’t a “Wait to Be Given a Task” Role

We already have two excellent part-time admin assistants and established systems covering our enquiries, customers, quotes, projects and accounts.

The challenge is that there are a lot of moving parts.

We need someone who can see the bigger picture, monitor what needs doing and make sure important tasks don’t disappear between people.

You’ll be hands-on with administration, but your real value will come from taking ownership.

That means:

Noticing when a customer is waiting for a response
Checking that sales enquiries are moving through the correct stages
Following up when tasks or information are outstanding
Helping the office team prioritise when things get busy
Answering routine questions and resolving everyday issues
Providing dependable cover when either admin assistant is away
Making sure the management team aren’t unnecessarily dragged into day-to-day questions

You will need the confidence to check progress on various tasks, ask questions and make sure agreed actions are completed.

Naturally enjoys organising people, tasks and information
Spots mistakes, gaps and unfinished work without having everything pointed out
Takes responsibility for finding answers and solving straightforward problems
Can follow established processes carefully and consistently
Knows when to use initiative and when something genuinely needs escalating
Can confidently follow up with colleagues when actions are outstanding
Communicates clearly and professionally by telephone and email
Remains calm when several things require attention at once
Can prioritise based on importance - not simply whichever task appeared most recently
Is friendly, reliable, trustworthy and honest
Works well independently while also supporting the wider team
Is comfortable using technology and learning new systems
Has some understanding of AI and an interest in using it effectively

Most importantly, we want someone who genuinely cares whether the job has been done properly.

What You’ll Be Responsible For

Your responsibilities will include:

Monitoring our sales pipelines and ensuring new enquiries receive a prompt response
Supporting our existing admin assistant with lead qualification and customer follow-ups
Making sure customer information and sales activity are recorded accurately
Monitoring weekly, monthly and ad hoc office tasks
Helping coordinate priorities across the office team
Following up outstanding tasks, actions and missing information
Handling routine questions from decorators and office staff
Liaising between field staff and office staff to ensure processes are followed
Providing cover for either existing admin assistant during holidays or absence
Helping keep quoting, invoicing and customer communications up to date
Checking company records, processes and systems for mistakes or missing information
Keeping documents, systems and customer information organised
Resolving everyday administrative and operational issues wherever possible
Escalating important matters when management involvement is genuinely needed
Regularly auditing tasks, processes and roles

The Boring but Important Stuff

£14 per hour
Monday to Friday
Starting hours of 8:00am–1:00pm
Office-based in York
This is not a remote or hybrid position
The aim is to develop the position into a full-time 8:00am to 4:00pm role within the next 12 months
Training will be provided on our systems and processes
Previous office or administrative experience is expected

Software and Experience

You should already have basic or intermediate experience with:

Microsoft Office
Google Drive, Docs and Sheets

Experience with any of the following would be useful, but isn’t essential:

CRM and sales pipeline systems
Project or site-management software
Slack
Xero
Pleo
AI tools

We don’t expect you to have used every system we use. We do expect you to be comfortable with technology, willing to learn and capable of picking up new software quickly.
