Freelance Administrator & Project Coordinator | Events & Marquee Hire

Sail & Peg is looking for a highly organised Freelance Administrator & Project Coordinator to support our office team.

As one of the UK’s leading luxury sailcloth marquee companies, we deliver exceptional weddings, private celebrations and corporate events across the UK.

This is a predominantly administrative role, providing essential support to our operations team and helping ensure every event is organised efficiently behind the scenes.

Working from our Tonbridge office, you’ll be responsible for coordinating sub-hire equipment, liaising with suppliers, preparing event documentation, managing project administration and keeping our internal systems up to date. This role is ideal for someone who enjoys organisation, project coordination, problem-solving and working in a fast-paced environment where no two days are the same.

The Role

Your responsibilities will include:

Supporting the operations team with day-to-day administration
Coordinating multiple event projects from confirmation through to delivery
Arranging and managing sub-hire equipment with external suppliers
Obtaining quotations, confirming bookings and coordinating logistics
Liaising with suppliers regarding deliveries, collections and availability
Preparing project schedules, job files and ensuring all event documentation is accurate and complete
Updating project information, timelines and internal systems
Chasing outstanding information from clients and suppliers
Assisting with purchase orders, hire confirmations and general administration
Monitoring project progress and ensuring key deadlines are met
Maintaining accurate records and ensuring information is communicated clearly across the team
Providing general office and project support

What We’re Looking For

We’re looking for someone who is:

Exceptionally organised with excellent attention to detail
Confident managing multiple projects and administrative tasks simultaneously
Professional and personable when communicating with suppliers and clients
Proactive, reliable and able to work independently
Calm under pressure and able to prioritise effectively
Comfortable using email, Microsoft Office and online systems
Happy working in a busy office environment
A positive team player with a can-do attitude

Previous experience in administration, project coordination, operations, logistics, events, purchasing, hire or office support would be advantageous. However, we’re primarily looking for someone who is organised, dependable, quick to learn and enjoys supporting a busy team.

Pay & Contract

Freelance: £18.00 per hour
Location: Office based, Tonbridge, Kent
Hours: Flexible, to be agreed (approximately 2–4 days per week, depending on workload)
Contract: Freelance, with the opportunity for ongoing work as the business continues to grow
