Full job description

The Role

The Operations Assistant plays a vital role in supporting the efficient day-to-day operation of the business. Responsible for coordinating customer orders, managing operational records, supporting logistics activities and maintaining effective communication with customers and suppliers, the role helps ensure a smooth and positive customer experience.

Working collaboratively across teams, the Operations Assistant focuses on accuracy, organisation and customer service excellence, while contributing to process improvements and the overall success of operational activities.

The hours of work for this position are 37.5 hours per week, working Monday to Friday in our Lancaster office.

Responsibilities

Customer and Internal Communication – Respond promptly and professionally to internal and external queries, providing clear updates on orders, deliveries and other operational matters.
Order Processing – Monitor the Orders inbox, and accurately process order information within operational systems.
Shipment Coordination – Arrange and track shipments through courier portals, provide proof of delivery, resolve delivery issues and keep customers and colleagues informed throughout the process.
Record and Data Management – Maintain accurate customer, asset and order records.
Operational Support – Produce order specification sheets, allocate stock for warranty and evaluation requests, raise consumable orders and support the Operations Team with administrative and workflow activities.
Supplier and Logistics Coordination – Liaise with suppliers and logistics partners to ensure timely order fulfilment, accurate information flow and effective resolution of operational issues.
Collaboration and Continuous Improvement – Work closely with Account Managers, Sales Consultants and other internal teams to maintain data accuracy, improve processes and support the efficient delivery of operational activities.

Experience We’re Looking For

Strong organisational skills with high attention to detail
Good IT proficiency, including Access databases, Excel, and email
Ability to manage multiple priorities in a fast-paced environment
Clear and confident written and verbal communication skills
Strong time management with the ability to prioritise effectively
Proactive approach with willingness to learn and develop
