About us

Globexpert Fundraising has been working with charities across the UK since 2016. We plan and deliver the fundraising side of galas, balls, charity dinners and auctions, helping good causes raise significantly more on the night than they would alone. Our clients trust us with their biggest events of the year, so everything behind the scenes has to run properly.

That is where this role comes in.

The role

We are looking for a bright, enthusiastic, motivated Trainee Administrator Assistant to join our office team. If you enjoy working with people, stay calm when things get busy and like picking up new skills, this is a strong first step into a genuinely interesting industry.

Roughly 90 to 95 percent of this job is office based administration. The remaining 5 percent is hands on support at client events, which we explain in full below.

What you will be doing (the day to day, 90 to 95 percent of the role)

Speaking confidently with charities, clients and event partners over the phone
Handling email enquiries clearly and professionally
Maintaining accurate records, bookings and client details on our systems
Preparing documents, schedules and paperwork for upcoming events
Using Microsoft Word, Excel and our internal tools daily
Supporting the wider team with general administration and diary management
Keeping the office organised and everything running smoothly behind the scenes

The events side (circa 5 percent of the role)

We want to be completely upfront about this part, because it is a real and required element of the job rather than an optional extra.

Alongside your office duties, you will occasionally attend client events to support colleagues on the ground. This is practical, hands on work: helping set up, assisting the team through the evening, looking after clients and guests, and packing down afterwards.

What that means in practice:

Events are almost always on a Friday or Saturday, occasionally other evenings
Events take place at venues across the country, so you must be able to drive and be comfortable driving to and from venues
Where an event is too far to travel back the same night, the company books and pays for your hotel accommodation
Event attendance is occasional, not weekly. It makes up around 5 percent of your working time
Travel costs are covered by the company

If weekend event work does not suit your circumstances, this role will not be the right fit, and we would rather say that clearly now.

What we need from you

A full driving licence and access to a vehicle
Willingness to attend occasional Friday or Saturday events, including overnight stays where required
A confident, professional telephone manner
A good standard of written communication
Comfortable using Microsoft Word, Excel and similar tools
Strong organisational skills and the ability to juggle several tasks at once
A positive, proactive attitude and a genuine willingness to learn

Nice to have, but not essential

Previous clerical or administrative experience in an office
Familiarity with Microsoft Office and Google Workspace
Experience with CRM systems or multiple line phone systems
Any experience in events, hospitality or the charity sector
