What you’ll be doing:

The role of Office Coordinator is an office-based role with minimal flexibility to work from home. The responsibilities of the post are as follows:

Support and coordinate the smooth running of our London office, ensuring all ISO quality processes relating to the facilities are maintained. Ensure all new starters' workspaces are ready.
Ensure the office is stocked with necessary essentials.
Maintain records, resolve issues when identified, and complete new starter inductions.
Be the first point of contact for all visitors, ensuring meeting rooms are prepared, refreshments are provided, and everyone feels warmly welcomed.
Book travel arrangements, including trains and flights, for employees and contractors, ensuring all travel logistics are handled efficiently.
Provide administrative support to the Executive Assistant, including taking meeting minutes when required, managing correspondence, and handling any other ad hoc admin tasks.
Communicate effectively with internal and external stakeholders.
Answer incoming PGI calls and handle enquiries appropriately, ensuring timely and effective resolution.

On day one you’ll bring:

Demonstrable experience in office/facilities management.
Proactive problem-solving abilities and the capacity to multi-task.
Excellent time management and the ability to prioritise tasks effectively.
A ‘no job too small’ attitude!
A friendly and welcoming personality with the ability to work well with others.
Strong working knowledge of MS Office.
The ability to remain calm under pressure while managing a diverse workload.
Experience in taking meeting minutes (essential).
Exceptional communication skills, particularly in writing clear and professional emails.
Strong organisational and administrative skills.

On day one you will bring:

Demonstrable experience in office/facilities management
An ability to find solutions, be proactive and the ability to multi-task.
Time management and ability to prioritise
Have a ‘no job’ to small attitude!
A friendly and welcoming personality, the ability to work well with others
Good working knowledge of MS Office
