Hours 8:00am to 5:30pm
Objective: To support the HR & Talent team with coordination and administrative tasks throughout HR, Learning and Development and Recruitment.
Responsible for: Providing comprehensive administrative and coordination support to the wider HR team across various functional areas. Managing day-to-day operational tasks, maintaining accurate departmental records, and serving as a reliable point of contact for internal queries. Assisting with the logistics, scheduling, and communication needs for recruitment cycles, onboarding processes, and learning and development initiatives.
Working relationships: Working relationships with Directors, HR, Contracts Managers, Managing QS’s, Commercial Lead, Project Managers, Preconstruction Team, Company Directors, HSEQ Managers, Construction Managers, Subcontractors, JCC Support Departments, Suppliers, Clients.
Key result areas:
- Administrative Excellence: High accuracy and data integrity maintained across all HR systems, records, and documentation.
- Process Efficiency: Prompt completion of day-to-day operational tasks, scheduling requests, and departmental workflows.
- Stakeholder Support: Timely, helpful, and professional responses to internal queries and team coordination requests.
- Logistical Delivery: Seamless execution of coordination tasks for recruitment, onboarding, and development activities.
Key tasks: General HR Administration
- Provide general administrative support to the HR team to ensure smooth day-to-day operations.
- Maintain and update departmental records, files, and databases with high accuracy.
- Act as a point of contact for routine internal queries and direct them appropriately.
- Prepare and distribute standard documents, HR correspondence, and communications.
- Recruitment Coordination
- Coordinate calendars, schedules, and logistics for recruitment and interviewing cycles.
- Assist with the arrangements and tracking of new starter onboarding activities.
- Support candidate communication to ensure a smooth coordination process.
Learning & Development Coordination
- Coordinate the end-to-end facilitation of L&D courses and events, including room bookings, diary invites, and catering logistics.
- Act as the primary point of contact for external training providers and participants to ensure smooth program delivery.
- Disseminate crucial training materials, instructional notes, and joining instructions to participants ahead of sessions.
- Resolve routine queries or issues that arise directly with training providers and internal participants.
- Proactively review opportunities for booking cost-effective group courses across the wider business.
Training Record & Inbox Management
- Monitor the induction inbox to promptly save and log all new certificates and professional tickets into training files.
- Maintain complete training records, including trainee lists, schedules, and attendance sheets.
- Regularly audit and update training folders, ensuring expired certificates are appropriately archived.
Compliance, Reporting & Insights
- Run regular compliance reports for expiring courses, maintaining a strict three-month look-ahead.
- Escalate lack of response regarding expiring certifications to senior management when necessary.
- Maintain and update the L&D dashboard, submitting comprehensive reports on training activities and assessment results.
CITB Administration
- Maintain and claim CITB grants via the CITB Portal for short courses, plant training, and health & safety certifications.
- Keep up to date with CITB policy updates, funding changes, and grant criteria.
Core Skills:
- Office Administration: Calendar management, meeting scheduling, email routing, and supply inventory tracking.
- Document Management: Data entry, digital filing systems, proofreading, and generating basic reports.
- Team Support: Meeting room preparation, taking minutes, cross-departmental coordination, and event assistance.
- Software Proficiency: Microsoft Office (Word, Excel, Outlook), Google Workspace, and Zoom.
- Organisation: Task prioritisation, multi-tasking, schedule optimization, and maintaining clean workspaces.
- Communication: Active listening, professional email correspondence, and collaborative teamwork.
Requirements & Qualifications
- Education: GCSEs (or equivalent) in English and Maths at Grade 4/C or above.
- Key Attribute: Exceptional eye for detail with a high standard of accuracy in data entry and documentation.
- Customer Service: Proven ability to provide professional, polite, and helpful service to internal team members and stakeholders.
- Team Support: Strong collaborative mindset with a willingness to assist team members and support daily operations.
- Tech Skills: Foundational proficiency in Microsoft Office (Word, Excel, Outlook) or Google Workspace.
- Administrative Support: Prior experience or exposure to handling general administrative tasks, such as managing shared inboxes or updating team calendars.
- HR Exposure (Desirable): Basic familiarity with human resources concepts, recruitment processes, or confidential employee data management.
Pay: £30,000.00-£32,000.00 per year
