Full job description

We're looking for a well-spoken and detail-oriented individual to join our team as an Administrator Assistant. The successful candidate will be responsible for taking meeting notes, scheduling appointments and attending meetings with executives. The candidate will work closely with other members of the team and possess excellent people skills. An outgoing personality and a strong work ethic are essential.

Responsibilities:

Schedule meetings with clients
Make travel arrangements for the director.
Answer phones, greet people, and answer questions.
Manage office correspondence.
Manage meeting attendees and schedules.
Maintain and organize personnel files.
Issuing fee proposals to clients
Prepare, send out and consolidate invoices and payments from customers, using XERO software
Maintain a strict filing system.
Data entry

Requirements and skills

Proven experience as an Office Administrator
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office, XERO Software
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organisational skills with the ability to multi-task

Start date: ASAP
