Overview
We are seeking a highly organised and proactive Office Administrator/Personal Assistant to support the director with daily administrative tasks and personal assistance duties. The ideal candidate will possess excellent communication skills, be proficient in various software tools, and demonstrate a keen eye for detail. This role offers an opportunity to work in a dynamic environment where organisational efficiency and professionalism are valued. The successful applicant will be responsible for managing schedules, handling correspondence, and ensuring smooth office operations.

Responsibilities

Managing and maintaining schedules, appointments, and calendar organisation
Handling incoming calls with professional phone etiquette and directing enquiries appropriately
Performing data entry tasks accurately using Microsoft Office, Google Workspace, and specialised software such as QuickBooks
Organising files, documents, and correspondence to ensure easy retrieval and confidentiality
Assisting with invoicing, expense tracking, and basic bookkeeping using QuickBooks
Supporting administrative tasks such as photocopying, scanning, and filing
Preparing reports, presentations, and other documents as required
Coordinating meetings, booking venues or virtual meeting links, and preparing agendas or materials
Managing personal errands or tasks for the employer as needed
Maintaining a tidy and efficient office environment to optimise productivity

Qualifications

Proven administrative experience or office experience demonstrating organisational skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Experience with QuickBooks or similar accounting software is desirable
Strong data entry skills with high accuracy and typing speed
Excellent organisational skills with the ability to prioritise tasks effectively
Good communication skills with professional phone etiquette
Clerical experience including filing systems and document management
Ability to adapt quickly to new software tools and office procedures
Strong attention to detail and confidentiality in handling sensitive information
