Full job description

John Ross Jr (Aberdeen) Ltd – a world-leading producer of traditional Scottish smoked salmon and proud holder of the Royal Warrant – is looking for a bright, friendly, and highly organised Office Administrator to join our busy and dynamic team.

We’re seeking someone who thrives in a fast-paced environment and can bring efficiency, enthusiasm, and attention to detail to a varied administrative role. An immediate start is preferred but not essential.

Key Responsibilities:

General administrative duties including answering and directing calls, emails, and post
Invoicing and generating reports using Sage
Data entry and maintaining both electronic and hard copy filing systems
Preparing export and customs documentation
Booking and coordinating transport/logistics, and troubleshooting delivery issues
Processing customer orders (UK and international)
Managing customer enquiries and providing support as needed
Liaising with both the sales team and factory staff to ensure smooth operations
Supporting the Office Manager and wider team with ad hoc duties

Ideal Candidate:

Previous administrative experience preferred
Proficiency in Microsoft Office (Word, Excel, Outlook and ideally Sage)
Knowledge of Sage software is advantageous
Strong written and verbal communication skills
Excellent organisational skills and ability to multitask
Calm under pressure and confident dealing with people at all levels
