As we continue to grow, we're looking for a talented and motivated Bid Writer to join our team. This is an excellent opportunity for someone with bid writing experience who enjoys creating compelling written content and wants to develop their career towards becoming a Bid Manager. You'll work closely with senior stakeholders across the business, gaining exposure to the full bid lifecycle while developing your commercial and project management skills.
The Role
As a Bid Writer, you'll play a key role in producing high-quality, persuasive tender submissions that support the continued growth of Phoenix Gas Services. Your primary focus will be writing, editing and coordinating bid content, ensuring submissions are clear, compliant and tailored to each client's requirements.
You'll be supported by experienced colleagues and will have the opportunity to take on increasing responsibility over time, with a clear pathway into a Bid Manager position.
Key Responsibilities
Bid Writing
- Produce high-quality written responses for public and private sector tenders.
- Interpret tender questions and evaluation criteria to develop clear, persuasive responses.
- Tailor content to reflect Phoenix Gas Services' strengths, experience and value proposition.
- Edit and proofread submissions to ensure consistency, accuracy and professionalism.
- Ensure responses are compliant with tender requirements and submission guidelines.
Bid Coordination
- Support the planning and coordination of tender submissions.
- Liaise with operational, technical, commercial and compliance teams to gather information and supporting evidence.
- Assist with formatting, document preparation and final submission activities.
- Monitor tender deadlines and help ensure submissions are delivered on time.
Content Management
- Maintain and improve the bid content library, including case studies, policies, CVs and standard responses.
- Update content to reflect new projects, accreditations and service developments.
- Work with colleagues to capture customer success stories and evidence of performance.
Research & Continuous Improvement
- Research clients, competitors and market opportunities to strengthen bid responses.
- Support post-tender reviews and contribute ideas to improve future submissions.
- Develop knowledge of procurement processes, public sector frameworks and industry best practice.
Key Performance Indicators (KPIs)
Success in this role will be measured against a range of quality, delivery and development objectives, including:
- Produce high-quality, compliant bid responses that meet client requirements and submission deadlines.
- Achieve 100% on-time submission of allocated tender responses and supporting documentation.
- Maintain a high standard of written content with minimal amendments required following internal review.
- Ensure all bid responses are accurate, evidence-based and aligned with Phoenix Gas Services' branding and quality standards.
- Contribute to improving the bid content library by creating or updating a minimum of two reusable responses or case studies each month.
- Build strong working relationships with operational, commercial and technical teams to obtain accurate information within agreed timescales.
- Support continuous improvement by participating in bid review meetings and implementing lessons learned.
- Develop knowledge of public sector procurement, framework agreements and the gas and heating sector.
- Demonstrate increasing ownership of bid opportunities, with the objective of independently coordinating and writing larger or more complex submissions over time.
- Contribute towards achieving the company's overall bid win rate targets through the production of high-quality, competitive submissions.
- Complete agreed training and professional development activities to support progression towards a Bid Manager role.
Skills & Experience
Essential
- Around 1-3 years' experience in a bid writing, proposal writing or tender support role.
- Excellent written communication skills with the ability to produce clear, engaging and persuasive content.
- Strong attention to detail and excellent proofreading skills.
- Well organised with the ability to manage multiple deadlines.
- Confident using Google Docs/Sheets/Gemini or equivalent
- Able to work collaboratively with colleagues across different departments.
Desirable
- Experience within gas services, facilities management, engineering, construction or a related technical sector.
- Knowledge of public sector tender portals such as Proactis, In-tend, Delta or Contracts Finder.
- Understanding of quality standards, health and safety or ISO management systems.
- Interest in developing a career in bid management.
