Job Purpose:
This role is responsible for ensuring the smooth end-to-end flow of orders from receipt through to dispatch, working closely with warehouse, production, commercial, quality, and operational teams. It involves managing orders, maintaining accurate inventory records, overseeing courier activities, and handling system integrations using Mintsoft and related platforms.
With a strong focus on administration, the position requires accurate data processing, record-keeping, and timely completion of all fulfilment documentation. Additionally, the role acts as the main point of contact for warehouse and fulfilment enquiries, supporting communication with clients, couriers, and internal and external stakeholders to ensure efficient and seamless operations.
Key Duties & Responsibilities
- Process and manage customer orders accurately in Mintsoft
- Monitor order queues and ensure timely dispatch within SLAs
- Prepare shipping documentation (labels, manifests, export paperwork)
- Coordinate with warehouse teams on priorities and special instructions
- Act as main contact for fulfilment queries and manage inbox
- Resolve issues related to orders, stock, delays, and returns
- Provide updates on order status, stock levels, and fulfilment progress
- Inventory & Stock Control including maintaining accurate stock records and system updates
- Process and monitor stock movements and levels (receipts, adjustments, transfers)
- Support stocktakes and reconcile discrepancies
- Liaise with couriers to resolve delays, claims, and disruptions
- Reporting & System Administration including producing reports on fulfilment, orders, and stock performance
- Ensure data accuracy across systems
- Support onboarding of new clients and product setup
Knowledge/Qualifications:
Essential
- Previous experience in a warehouse administration, fulfilment, logistics or operations support role.
- Strong administrative, organisational skills and customer service experience.
- High attention to detail and accuracy.
- Excellent communication and problem-solving skills.
- Ability to prioritise workloads and meet deadlines in a fast-paced environment.
- Proficient in Microsoft Office, particularly Excel.
- Experience using warehouse management systems (WMS) and e-commerce platforms.
Desirable
- Experience working within an e-commerce or consumer goods environment.
- Knowledge of courier management systems and shipping platforms - Sage200 and Mintsoft.
- Experience with inventory control and stock reconciliation.
- Understanding of warehouse health & safety procedures
