About us:

The TGS Automotive Group is a rapidly expanding vehicle conversions and solutions provider, tailored to the customers specific requirements, drawing on over 50 years of industry experience innovation and recognised craftsmanship.

Vacancy:

We are looking to recruit an experienced Customer Operations Executive. The role is office based in Fishponds (free parking), Bristol working 37.5 hours per week, Monday to Friday, £32,000 per year.

The role:

As a highly organised and detail-focused Customer Operations Executive you will to support the day-to-day coordination of customer orders, build progress, and delivery communication.

This role sits at the centre of the operation ensuring customers receive accurate, timely updates fully aligned to the production plan. The successful candidate will bring structure, consistency, and control to customer-facing activity, supporting the delivery of vehicles on time and to the required standard.

Key Responsibilities:

(1)Customer Communication

Provide regular, accurate updates to customers on build progress and delivery timelines
Ensure all communication reflects the agreed production plan no unconfirmed or speculative dates
Respond to customer queries promptly, maintaining clear ownership through to resolution
Escalate issues early where timelines or delivery are at risk

(2)Order Coordination

Track orders from intake through to delivery
Ensure all required information is captured and recorded accurately at order stage
Monitor vehicle progress through build, PDI, and dispatch
Support coordination of fleet rollouts and programme deliveries

(3)Planning Support

Work closely with Production Planning to ensure alignment between customer updates and live schedules
Maintain accurate trackers and systems (D365, Smartsheet, internal reports)
Highlight any deviations from plan and support communication back to customers

(4)Operational Support

Ensure all vehicles are fully work ready prior to handover (documentation, labelling, readiness)
Support coordination between sales, engineering, purchasing, production, and aftersales
Assist with resolving day-to-day operational issues impacting delivery

(5)Performance & Reporting

Maintain accurate records of order status and customer communication
Support reporting on key metrics (DIFOT, adherence to plan, backlog)
Identify recurring issues and escalate for resolution

Key Objectives:

Deliver accurate and consistent customer communication
Maintain clear visibility of all live orders
Support adherence to production plan
Reduce customer queries and escalations through proactive updates

Skills & Experience:

Experience in a coordination, admin, or customer operations role
Strong organisational skills with ability to manage multiple tasks
High attention to detail and data accuracy
Confident communicator, both written and verbal
Comfortable working in a fast-paced operational environment
