Our clients operate in fast-paced, demanding environments and expect a high level of professionalism, organisation and support. As we continue to grow, we are looking for an experienced and proactive Executive Operations Assistant to support the business, our team and our clients.
This is not a traditional administration role. We are looking for someone who thrives on organisation, enjoys solving problems and takes pride in ensuring things run smoothly behind the scenes.
The Role
You will work closely with the Founder and wider team to support daily operations, client coordination and travel logistics while helping maintain the exceptional standards our clients expect.
The ideal candidate will be highly organised, confident communicating with a wide range of people and comfortable managing multiple moving parts simultaneously.
Key Responsibilities Executive & Administrative Support
- Diary and calendar management
- Meeting coordination and scheduling
- Email and communication support
- Document preparation and organisation
- Supporting internal systems and processes
- General administrative support across the business
Travel & Logistics
- Coordinating domestic and international travel
- Management of visa requirements, passport validity rules and international entry requirements
- Managing flights, accommodation and transfers
- Producing clear travel itineraries and travel packs
- Supporting client and staff travel requirements
- Managing last-minute changes and travel contingencies
- Liaising with suppliers, venues and service providers
Client & Team Coordination
- Supporting client onboarding processes
- Assisting with client communications
- Coordinating information between coaches, staff and clients
- Helping ensure client experiences are delivered to a high standard
- Supporting team administration and onboarding activities
Events & Projects
- Assisting with client events, camps and experiences
- Supporting event logistics and planning
- Helping coordinate business projects and initiatives
- Supporting process improvement activities across the business
Optional Additional Responsibilities
Experience in any of the following would be advantageous but is not essential:
- Social media scheduling
- Basic Canva design
- Website updates
- Content coordination
- Media and marketing administration
About You
You are someone who:
- Has previous experience as an Executive Assistant, Senior PA, Operations Coordinator or similar role
- Thrives in fast-paced environments where priorities can change quickly
- Understands the expectations of high-net-worth individuals and professional clients
- Is highly organised and detail-oriented
- Is confident, articulate and comfortable speaking up when required
- Has excellent written and verbal communication skills
- Is proactive and solutions-focused
- Enjoys solving problems and finding practical solutions
- Can work independently and take ownership of tasks
- Maintains professionalism and discretion at all times
Essential Skills & Experience
- Experience supporting senior leaders or business owners
- Strong organisational and time-management skills
- Experience coordinating complex travel arrangements
- Proficiency with Google Workspace and Microsoft Office
- Experience managing digital calendars and schedules
- Excellent attention to detail
- Ability to manage multiple priorities simultaneously
