Private Client Property Conveyancing Paralegal/Secretary

We have an exciting opportunity for an experienced Conveyancing Paralegal/Secretary with a positive mindset and “can do” attitude to work at our brand-new Newcastle city centre office.
This position is a full-time role. The role would be working business hours from Monday to Friday
Previous knowledge and experience of conveyancing or property is essential.
Successful applicants will report to the Head of Department and will:
- Have a strong understanding of the conveyancing lifecycle and demonstrates excellent attention to detail with a strong focus on client care.
- Assist fee earners with the progression of residential property transactions from instruction through to completion.
- Open new files, verify client identification, perform Anti Money Laundering (AML), and prepare client care documentation and ensure all required information is obtained at the outset of a matter.
- Communicate with clients, estate agents, lenders, solicitors and other third parties by telephone, email and letter.
- Provide clients with clear and timely updates on the progress of their matters.
- Prepare, organise and maintain accurate file records, documents and correspondence
- Monitoring email inboxes and attaching emails to case for fee earners.
- Support the preparation of contract packs, searches, completion statements and other conveyancing documentation as required.
- Assist with exchange and completion processes, including preparing relevant documentation such as the submission of Stamp Duty Land Tax (SDLT) returns, dealing with the service of notices and post completion requirements on leasehold properties and liaising with all parties involved.
- Ensure compliance with internal procedures, regulatory requirements, anti-money laundering checks and confidentiality obligations.
- Manage administrative tasks efficiently, including scanning, filing, diary management, post, file closing and archiving.
- Work collaboratively with colleagues to ensure deadlines are met and matters are progressed smoothly.
They will be able to get involved in a variety of matters including:
- Property sales and purchases
- Freehold and leasehold matters
- Remortgage work
- New-build transactions
- Development schemes
- Shared ownership properties
The following skills and experience are relevant:
- Balancing the demands of clients/caseload and non-casework responsibilities and ensuring that deadlines are met
- Adhering to all file and case management policies and procedures / compliance
- Accurately recording all time, chargeable and non-chargeable
- Ensuring that the billing of files is carried out efficiently and at the earliest opportunity
- Working as a team player with other fee earners and support staff
- Maintaining knowledge and skills in relevant practice area keeping up to date with relevant legislation and case law
- Ensuring continuing competence through identifying and addressing any learning needs
- Participating in and engaging with supervision
- Maintaining a good knowledge and understanding of IT systems
