Operations & Transport Administrator (Events & Construction)
Location: Lasham, Hampshire
Contract: Full-time, Monday to Friday, 8:00 am – 5:00 pm (40 hours, 1-hour unpaid break)
The Role
This is not a typical admin role.
You will sit at the centre of live operations, supporting both our transport and event delivery teams to ensure jobs run on time, equipment is ready for hire, and customer issues are resolved quickly.
From major events to construction contracts, you will help keep everything moving. You will coordinate across drivers, yard teams, planners, and customers, making sure standards are met and problems are solved before they escalate.
If you like pace, ownership, and being the person that keeps things together, this role will suit you.
What You’ll Be Responsible For: Operational Control & Quality
- Raise and manage workshop jobs for maintenance, repairs, and inspections
- Track completion of work and ensure equipment is hire-ready
- Flag quality issues before equipment leaves the yard
Transport & Planning Support
- Support transport planners with routing, scheduling, and job allocation
- Monitor job completion and follow up on any missed or incomplete work
- Help keep daily plans accurate and achievable
Communication Hub
- Act as the link between office teams, drivers, yard staff, and customers
- Handle incoming queries and resolve issues quickly and effectively
- Keep stakeholders informed when plans change
Stock & Purchasing
- Carry out weekly stock checks across consumables, parts, and service kits
- Raise purchase orders and manage goods received
- Ensure critical items are always available to support operations
Fleet & Compliance Oversight
- Ensure daily vehicle checks are completed and recorded
- Monitor vehicle condition, cleanliness, and damage reporting
- Support compliance standards across the fleet
People & Admin Support
- Support shift scheduling and overtime coordination
- Assist with holiday tracking and approvals
- Provide general administrative support to operations and event teams
What Good Looks Like
- Jobs are completed right first time
- Equipment leaves the yard ready for hire
- Drivers know exactly what they’re doing and where they’re going
- Customer queries are dealt with quickly, not chased
- The operation runs smoother because you’re in it
What We’re Looking For
- Previous experience in an administrative or coordination role
- Highly organised with strong attention to detail
- Confident communicator who can deal with different teams and priorities
- Proactive mindset – you spot issues and act early
- Comfortable working in a fast-paced, ever-changing environment
- Good working knowledge of Microsoft Office
You don’t need experience in transport or events. We will train you. What matters is attitude, ownership, and a willingness to get stuck in.
