We are looking for an experienced and forward thinking candidate with strong customer service and administration skills to join our existing friendly and dynamic team.

Part Time and Full Time positions - Flexibility to work within 7.45am and 6.45pm is required

About Victoria Medical Centre

We are now settled into our ultra-modern purpose-built premises post-merger - built in 2021. We are a training practice for Foundation doctors and GP trainees, with 30,000 patients, 33 consulting rooms, 2 operating suites and a private suite. We also have a training academy, daily training huddles, clinical meetings, an active PCN and a branch surgery, located in the towns main shopping centre.

Overview of the Job

To form an integral part of the front of house and administrative team, contributing to the daily office routine within General Practice. The role shall include various administrative tasks, reception duties and dealing with telephone enquiries.

Job Description

The following are part of the core responsibilities of a Administrator Receptionist:

Undertake reception duties when required following protocols and procedures
Greet all patients and visitors in a courteous and polite manner, offering all reasonable assistance
Handling and processing of prescriptions, ensure all prescription requests are processed and are ready for collection within 3 working days
Book appointments by telephone and face to face
Receive and make calls as required
Divert calls to relevant team and deal with general Enquiries and appointment line
Undertake Administrative duties - completing of tasks both in EMIS Web and DOCMAN
Registering of new patients
Scanning and filing of incoming documents and post
Deal with email queries following protocols and procedures.
Act as the first point of contact for patients raising concerns or informal complaints
Support patients by directing them to the most appropriate service or clinician
Carry out daily opening and closing duties to ensure the smooth and secure operation of the practice.
Filing documents such as ECGs and non-urgent scanning
Assist with the cold chain policies of the practice by conducting the daily vaccine temperature checks
Assist with the monitoring of the resus/crash trolleys by conducting daily checks and logging them accurately within the allocated documents.

Excellent communication skills (written and oral)
Experience of administrative duties
Strong IT skills

Working within a team

Desirable criteria

EMIS Clinical System - training will be given if required
Knowledge of Microsoft Teams, Excel, Word
Experience of working in a health care setting as an administrator and/or receptionist

This post is subject to the rehabilitation of Offenders Act (exceptions order) 1975 and as such it will be necessary for submission for disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
