Responsible for: Operations and HR Administration
Role Introduction
To provide efficient and accurate administrative support to the Trust’s Operations, Governance and HR functions.
Working under the direction of the Chief Operating Officer and working closely with the HR Manager and Governance Professional, the postholder will support day-to-day operations including recruitment, staff records, minute taking, system/activity monitoring and general administration.
The role is key to ensuring operational systems and processes run smoothly and comply with statutory and Trust requirements. The role will typically be split 45% HR Administration, 45% Governance & Estates Administration and 10% general administration; however, this will vary depending on peaks within each area’s workload.
The role may require some attendance at out of hours meetings and will require occasional travel to schools within the Trust.
The succesful candidate will receive training and development opportunities.
Responsibilities
HR Administration
· Maintain accurate and up-to-date staff records across Trust systems (e.g. SAM People), including starters, leavers and contract changes
· Support safer recruitment processes, ensuring all required checks and documentation are completed in line with Trust procedures
· Maintain and update the Single Central Record (SCR)
· Coordinate and monitor onboarding for new starters, including induction pathways
· Support absence and leave administration and monitoring, ensuring records and documentation are complete and accurate
· Prepare standard HR documentation (e.g. contracts, variations, letters, templates) using agreed templates
· Act as a first point of contact for routine HR administration queries via email and telephone, referring more complex matters to the HR Manager
Governance and Estates Administration
· Provide clerking and administrative support within the Trust governance structure
· Coordinate meeting logistics, including scheduling, agenda preparation and distribution of papers
· Take minutes and maintain clear action logs using Trust templates
· Maintain governance records across agreed systems (e.g. GovernorHub), ensuring information is accurate and up to date
· Record and monitor governance compliance requirements, including attendance, declarations of interest, DBS and eligibility checks
· Support the onboarding of Trustees and Governors
· Provide administrative cover for routine governance tasks during periods of absence or peak activity
· Maintain organised and version-controlled governance documentation and shared folders
· Provide administrative support for Trust-wide estates and compliance activity
· Maintain accurate records within Trust systems (e.g. iAM Compliant), including certification, compliance evidence and action tracking
· Monitor compliance requirements by tracking deadlines, identifying gaps and following up with schools or contractors
· Assist with estates-related procurement administration, including collating quotes and maintaining audit trails
· Ensure estates data is accurate and supports Trust-wide reporting
· Act as a central point of contact for routine estates administration queries
General Administrative Support and Other Responsibilities
· Provide flexible administrative support across the central team as required
· Maintain accurate, well-organised records and systems that support audit and compliance
· Liaise with school-based administrative staff to support consistent practice across the Trust
· Contribute to continuous improvement of administrative processes and systems
· Promote and safeguard the welfare of children
· Maintain confidentiality and handle sensitive information appropriately
· Follow all Trust policies and procedures
