Full job description

Are you an experienced Receptionist or Administration Assistant? Do you enjoy being the font of all knowledge for an organisation? Being at the forefront of what’s happening within a business? Being the first point of contact for customers?

An exciting opportunity has arisen to join our busy reception department in a successful and well-established property management and investment company. The heart of our business, our reception department, is our interface with our customers and the successful candidate can expect a busy, varied and rewarding career where no two days are the same.

The ideal candidate will have some relevant experience in a property environment, although not essential, and will have excellent communication and customer service skills.

What you’ll be doing

As the first point of contact for tenants, landlords, contractors and visitors, you will play a key role in supporting the day-to-day operations of our busy property management and letting agency. You will provide a professional and welcoming reception service, ensuring all enquiries are handled efficiently and to a high standard.

Key responsibilities will include:

Managing incoming telephone calls, emails and visitor enquiries, directing queries to the appropriate department where necessary.
Providing front desk reception services and maintaining a professional image of the business.
Preparing and issuing tenancy agreements, leases and associated tenancy documentation.
Assisting with the administration of residential and commercial property portfolios.
Managing council tax and business rates accounts for vacant properties, including liaising with local authorities and ensuring records are maintained accurately.
Processing rent payments, deposits and other property-related transactions, carrying out daily cash reconciliation where required.
Responding to letting enquiries from prospective tenants and arranging viewings where appropriate.
Producing tenancy-related correspondence and maintaining accurate property and tenant records.
Monitoring rent accounts and assisting with arrears management.
Managing incoming and outgoing post and ensuring correspondence is distributed promptly.
Ordering and maintaining office stationery and supplies.
Supporting the wider team with general administrative duties to ensure the smooth running of the office.
Assisting with compliance and property administration tasks as required.
