Full job description

Overview
Hewlett Swanson is a well-established law firm seeking a Junior Administrative Assistant to provide maternity cover to the end of March 2027. This part-time role is ideal for someone at the early stages of their administrative career who is looking to gain experience within a professional legal environment.

You will work closely with fee earners and the wider administration team, assisting with day-to-day administrative tasks and helping to ensure the smooth running of the office.

Key Responsibilities

Providing general administrative support to fee earners and administrative staff
Answering telephone calls and handling emails in a professional manner
Preparing, formatting, and proofreading documents and correspondence
Perform clerical duties such as photocopying, scanning, and maintaining office supplies
Maintaining electronic and paper filing systems
Booking appointments/setting up meetings and assisting with diary management
Supporting client enquiries
Client file opening
Assisting with billing, time recording, and other administrative tasks as required

About You

5 GCSEs at grades 9 – 4 (A* - C), or equivalent including English and Maths
Ability to reliably commute to Manchester City Centre essential
Some previous administrative or office experience especially in a law firm is desirable, but not essential
A willingness to learn and develop within a legal environment
Good planning and organisational skills and a high level of attention to detail
Strong typing skills and experience using Microsoft Office/365 applications, particularly Word, Outlook and Excel
Excellent, professional verbal and written communication skills
Self-motivated with a positive and proactive attitude
Ability to handle confidential information responsibly
Ability work as part of a team and time management essential

What We Offer

Part-time hours: 30 hours/week 09:00 – 17:30 four days a week (days to be agreed), with a 1-hour lunch break
20 days annual leave plus pro-rata Bank Holidays

Salary £20,000 - £22,800 commensurate with experience.
Fixed-term maternity cover contract starting July 2026
