About the role
We're looking for an Executive Assistant to be the Director's right hand and help keep the office running smoothly. It's a varied role: diary and travel one minute, property paperwork or a recruitment call the next, and everything in between. It suits someone who likes having a hand in everything, takes pride in staying a step ahead, and enjoys being the person who holds it all together.
You'll manage your own workload, use your judgement and pick things up before they're asked for. There's a fair amount of phone work as well, so you'll need to be confident making calls and comfortable being a first point of contact for the business.
What you'll be doing
- Acting as the Director's right hand: managing the diary, booking appointments and making sure they're prepared for the day ahead
- Arranging meetings, travel and accommodation, and pulling together detailed itineraries
- Looking after the post, keeping the mail register up to date, and handling email responses on the Director's behalf as needed
- Being a first point of contact on the phone and by email, for people inside and outside the business, including international contacts
- Supporting property matters: documentation, appointments, records and coordination
- Coordinating recruitment: calling candidates, setting up interviews and keeping everyone in the loop
- Preparing, formatting and proofreading documents, reports and letters
- Minuting meetings and following up on what was agreed
- Keeping the office stocked and running smoothly, from ordering supplies to restocking the perishables
- Turning your hand to general admin and the occasional project when the team needs support
What we're looking for
- A confident telephone manner, comfortable making calls and following things up
- Highly organised, with an eye for detail and a calm way of juggling competing priorities
- A self-starter who manages their own workload and can be trusted to use their judgement
- Discreet and trustworthy, particularly with sensitive information
- A polished, accurate writer
- Capable with Google Workspace or Microsoft Office
- Unflappable under pressure, and quick to reshuffle when priorities shift
A few things that would be a bonus, but aren't essential:
- An interest in the energy or sustainability sector
- Experience supporting a senior leader, or more than one person at once
Experience
Experience as an EA or PA to a Director, or an equivalent role, is preferred, though it isn't essential if you've got the right approach. What matters most is that you're organised, switched on and happy to take ownership.
