Reports to: Operations Manager

Contract: Full Time, 4 on 4 off shift pattern

Location: Hugglescote, Leicestershire

Position Summary: As a Transport Coodinator, you will work as part of the busy Operations team providing support and assistance to Drivers on a daily basis. This includes answering queries, providing necessary paperwork and escalating any concerns raised in a professional and courteous manner whilst ensuring the correct procedures are followed.

We are proud to be the largest coach operator in Leicestershire, with over 30 years of experience delivering reliable, friendly, and professional travel services. Our extensive fleet of modern executive vehicles allows us to operate more than 600 coach holidays, day trips, and short breaks annually across UK and Europe. Alongside our popular Holidays programme, we also provide private coach hire for a wide range of occasions and deliver daily public service transport and school transport for thousands of pupils.

We have recently expanded our fleet with several new vehicles, including a zero-emissions coach, and introduced a new premium division, Roberts Luxe. This marks an exciting stage of growth for the business, making it a fantastic time to join a forward-thinking and innovative company.

Key Responsibilities:

· Ensure the daily scheduled transport plan is achieved economically and meeting all SLA targets

· Ensuring all drivers receive their driver packs including work tickets, keys, fuel cards and maps to ensure the vehicle leave site and reach its destination within SLA deliver targets

· Escalate any vehicle defects to the Transport Management Team / Engineering.

· Effective management and planning of drivers, through on-going communication and using our state-of-the-art transport software, ensuring a consistent 2 week lookahead is planned and visible.

· Controlling and planning an agreed amount of resource (vehicles, drivers, trailers); ensuring all legal requirements are adhered to (Working Time Directive and EU drivers’ hours regulations)

· To ensure the daily plan is completed in real time, managing resources effectively, maximising utilisation whilst minimising cost

· Ensure that our internal tracking systems are kept organised and updated to an exceptional standard

· Make regular use of in-house systems to manage workload and monitor efficiency

· Understanding and achieving key performance targets relating to the safety and efficiency of our fleet (including utilisation and costing)

· Constantly communicate with our customer service teams and drivers to ensure customer KPI’s and targets are achieved and maintained

· Assisting the Operation Manager as necessary

· Day to day scheduling and routing of Coaches and Buses

· Carrying out various vehicle and driver compliance checks

· Downloading vehicle tachographs units, monitoring driver’s hours

· Assisting with vehicle and driver compliance tasks

· Resolving customer complaints

· Be able to comfortably organise your own workload and will be able to work in a pressurised environment to meet key deadlines.

· Checking all private hires for any discrepancies or faults.

· Be able to interpret good geographical knowledge

· Working independently and as part of a team, organising and prioritising your own workload to meet key deadlines.

· Flexibility to cover weekend working and early starts or late finishes on a rota basis or as and when required.

Skills and Experience

· Resilient when under pressure and able to react and adapt quickly to proactively seek solutions

· Excellent communication skills with the ability to liaise effectively to all key stakeholders

· Strong verbal and written communication skills are essential requisites

· You should be PC literate, with a working knowledge of Microsoft Excel and Word in particular.

· A proactive, hands-on approach, able to take instruction and direction with a focus on results.

· High attention to detail and a commitment to delivering high-quality work.

· Knowledge of the transport industry and regulatory compliance is beneficial.

· At least 2 years’ experience in a transport and logistics environment

· Some geographic knowledge would also prove advantageous
