Trainee Hire Controller

We are looking for a Trainee Hire Controller to join our small, family-feel team on a full-time, permanent basis at our site in Kintore, Aberdeenshire. This is an excellent opportunity for someone looking to develop their career in a varied and hands-on role, with full training provided to help you learn our hire processes, systems and generator products.
You will play an important role in supporting the day-to-day running of the business, helping to deliver a high level of service to our valued clients while working closely with both the office and yard teams.

Genny Hire Ltd is an established plant hire company offering diesel generators designed for industries including Oil & Gas, Offshore Wind, Maritime, Farming, Construction, Leisure Events, and many more.
The Role
As a Trainee Hire Controller, you will support the team with customer enquiries, hire administration and coordinating day-to-day activity. You will be given training and support to build your knowledge and confidence in the role.
This is a full-time, site-based role working Monday to Friday, 8:00am to 5:00pm, with a 30-minute lunch break.
Please note that our office is based on a working yard. The successful candidate will be required to liaise regularly with the yard team in an outdoor operational environment throughout the year and in all weathers. PPE will be provided.
Main duties will include:
- Act as a first point of contact for clients making generator hire enquiries by phone, email and in person
- Answer customer enquiries regarding generator hire, distribution equipment and accessories, providing helpful information and escalating technical queries where needed
- Support customers with hire enquiries and help them find the most suitable solution, with guidance from experienced colleagues where required
- Generate hire quotations, ensuring they are accurately prepared, numbered and filed correctly for future reference
- Assist with processing hire orders accurately using company systems, ensuring all paperwork and records are completed correctly
- Prepare hire agreements, invoices and other hire documentation
- Help coordinate generator deliveries and collections, liaising with the wider team to support smooth day-to-day operations
- Maintain accurate and up-to-date records of hires, equipment availability and client information
- Record any defects or issues identified with hire equipment on return from hire, ensuring the relevant team members and customers are made aware as appropriate
- Ensure all paperwork is completed accurately and filed correctly in line with company processes
- Support the team in resolving customer queries in a professional and helpful manner
- Carry out general administrative and office duties to support the efficient running of the business
- Develop an understanding of the company’s products, services and processes in order to provide excellent customer support
What we're looking for:
Essential Requirements:
- Previous experience in an administrative, customer service or office-based role, or a willingness to learn in a fast-paced environment
- Strong communication skills, both verbal and written
- A positive, can-do attitude and willingness to learn new systems, processes and product knowledge
- Good organisation skills and attention to detail
- Confidence using Microsoft Office / Office 365 and general computer systems
- A professional and friendly approach when dealing with customers and colleagues
- Ability to manage tasks, prioritise workload and work as part of a team
- Full UK driving licence
Desirable requirements
- Experience in a hire, rental, plant or construction-related environment
- Experience using hire software such as OnRent
- English and Maths at Higher Grade C and above (or equivalent)
- Business Administration qualification (or equivalent)
- First Aid qualification
