Full job description

Role Purpose

To support the effective operation of the finance function by maintaining accurate and timely Sales and Purchase Ledger records, processing transactions in line with company controls, and providing flexible support across the finance team.

Main Accountabilities

Maintain all aspects of the Sales and Purchase Ledger, ensuring accuracy and completeness.
Provide cover for other Finance Assistants as required, including ad-hoc accounts and payroll administration.
Cover finance team tasks during holidays and sickness.
Deal with general finance-related telephone enquiries as required.
Carry out any other reasonable tasks to support the Finance function.

Specific Responsibilities

Sales & Purchase Ledger Processing

Process all supplier and customer invoices onto Sage.
Set up new suppliers and customers in line with internal controls.
Perform daily input of invoices.
Match, batch, and code invoices to purchase orders and post to the nominal ledger.

Invoice Validation & Query Resolution

Ensure supplier invoices are accurate and aligned to approved Purchase Orders prior to posting.
Investigate and resolve discrepancies relating to price, quantity, or description, ensuring appropriate authorisation before payment.
Deal with supplier and customer queries in a timely and professional manner.

Reporting & Analysis

Support data analysis and reporting requirements.
Maintain spreadsheets for labour factory hours, holiday calculations, and other finance-related analysis as required.

Systems & General Duties

Use Sage for ledger processing and reporting.
Use Excel and Word to a competent standard.
Undertake any other duties relevant to the efficient running of the finance function or wider company activities, as agreed.
