Role Purpose
To manage and progress assigned legal casework accurately and efficiently within a client team, ensuring compliance with legal and regulatory requirements and a consistently high standard of client care.
The Case Handler retains responsibility for the progression, accuracy, and integrity of their allocated matters, while working collaboratively with the Account Manager to ensure work is completed efficiently and to a high standard.
Key Responsibilities
Case Management & File Progression
- Manage and progress assigned casework in line with internal procedures, legal requirements, and regulatory standards.
- Take ownership of allocated matters, ensuring tasks are progressed proactively and not left awaiting instruction or follow-up.
- Maintain accurate, complete, and up-to-date file records, case notes, and documentation.
- Identify risks, inconsistencies, or delays within files and take appropriate action, including escalation where required.
- Operate confidently within a regulated environment, ensuring compliance with GDPR, SRA requirements, and internal policies.
Administrative Accuracy & Documentation
- Retain responsibility for ensuring that documentation on files is accurate, complete, and properly recorded.
- Work with the Legal Assistant to share administrative tasks appropriately, while maintaining oversight of file quality and completeness.
- Use internal systems, checklists, and templates to support accuracy and consistency.
Team Working & Collaboration
- Work closely with the Legal Assistant within the client team, supporting one another as required to ensure smooth file progression.
- While each role has defined responsibilities, a flexible and collaborative approach is expected to meet client and team needs.
- Liaise with the Account Manager to provide updates on progress, highlight issues, and support effective client communication.
- Escalate workload concerns or capacity issues proactively via existing line management routes.
Client Care & Professional Standards
- Communicate with clients in a clear, professional, and empathetic manner, recognising the sensitive nature of probate and estate administration.
- Handle confidential and sensitive information with care and discretion at all times.
- Uphold Steele Rose’s professional standards in all written, verbal, and system-based interactions.
