About the Role
Trent Estate Agents is looking for an organised and reliable Office Administrator to support the day-to-day running of our estate agency office.
The role will involve general administration, answering calls and emails, arranging appointments, updating property records and assisting with sales and lettings administration.
This is a varied position suited to someone who is organised, confident communicating with clients and comfortable managing several tasks at the same time. Previous estate agency experience would be helpful but is not essential, as training can be provided.
Key Responsibilities
- Answering telephone calls and responding to emails
- Booking property valuations, viewings and appointments
- Contacting vendors, landlords, buyers and tenants
- Updating the estate agency CRM system
- Maintaining accurate client and property records
- Preparing letters, emails and property documents
- Assisting with property listings and marketing administration
- Uploading property details, photographs and documents
- Following up enquiries and outstanding actions
- Liaising with contractors, solicitors, mortgage brokers and other professionals
- Organising property compliance certificates and documents
- Assisting with sales and lettings administration
- Maintaining office files and records
- Supporting the team with general administrative duties
- Handling client information confidentially and in accordance with GDPR
Skills and Experience
The successful candidate should have:
- Good organisational and time-management skills
- Good written and verbal communication
- A professional telephone manner
- Strong attention to detail
- Basic Microsoft Word, Excel and email skills
- The ability to work independently and follow instructions
- A reliable and responsible approach
- Confidence dealing with customers and clients
- The ability to prioritise tasks and meet deadlines
Previous experience in administration, customer service, estate agency, lettings or property would be an advantage but is not essential. Full training will be provided.
