The Role
As our Clinic & Patient Coordinator, you will become the main point of contact for patients, models and learners.
Your role will include:
- Welcoming patients and learners into the clinic and creating an exceptional first impression.
- Coordinating suitable models for training courses.
- Carrying out patient and model suitability checks.
- Reviewing consultation and medical history forms to ensure they are complete before appointments.
- Contacting patients to gather any missing information.
- Booking consultations, treatments and training models.
- Building long-term relationships with clients through excellent communication.
- Monitoring each client’s journey from enquiry through to aftercare.
- Ensuring all documentation, consent forms and clinical records are accurate and complete.
- Liaising closely with clinicians, trainers and the administration team to ensure clinics run smoothly.
- Managing appointment schedules and helping maximise clinic utilisation.
- Following up with clients after appointments to ensure an excellent experience.
- Handling enquiries professionally via telephone, email and messaging platforms.
- Maintaining exceptional customer service at every stage of the patient journey.
- Supporting reception and general administrative duties as required.
Additional Responsibilities
- Working towards individual and team KPIs and performance targets.
- Helping maximise clinic occupancy by ensuring appointments, consultations and training models are booked efficiently.
- Building strong relationships with prospective and existing clients to encourage repeat bookings and ongoing engagement.
- Identifying opportunities to recommend suitable treatments, training courses and follow-up appointments where appropriate.
- Contributing to the continued growth of both the clinic and training academy through excellent customer service and proactive client management.
About You
We’re looking for someone who is naturally confident, personable and highly organised.
You should enjoy speaking to people and be able to build trust quickly.
The ideal candidate will have:
- Previous reception, front-of-house or patient coordinator experience.
- Experience within healthcare, beauty, aesthetics, cosmetic surgery, dentistry or another clinical environment.
- Excellent verbal and written English.
- Outstanding communication and interpersonal skills.
- Strong administration and organisational abilities.
- High attention to detail.
- Confidence using computer systems and managing multiple tasks.
- The ability to remain calm under pressure.
- A warm, professional and approachable manner.
- Excellent telephone etiquette.
- A genuine passion for customer service.
In addition, the ideal candidate will have:
- Previous experience working in a target-driven or KPI-focused environment.
- Confidence discussing treatments and services with clients.
- A commercially minded approach with the ability to balance outstanding customer care with achieving business goals.
- The motivation to earn commission by delivering an exceptional client experience and maximising opportunities naturally and ethically.
- A proactive attitude and the confidence to take ownership of your performance.
Desirable (but not essential)
- Beauty Therapy qualification.
- Aesthetic qualification.
- Experience working within an aesthetic clinic.
- Knowledge of common aesthetic and skin treatments.
- Experience reviewing consultation or medical forms.

Working Hours
Full-time position.
Weekend availability is essential.
Immediate start available for the right candidate.
