Construction Document Controller & Project Administrator

Location: Bicester / Oxfordshire Salary: £40k-£55k + Pension (Experience dependant)

Role Overview

Fenway Construction is seeking a highly organised, detail-driven Construction Document Controller & Project Administrator to support the operational, technical and commercial delivery of a growing residential development business.

This is a pivotal role responsible for controlling project information flow across the business, ensuring documentation, drawings, approvals and commercial administration are accurately managed and issued in a timely and controlled manner.

The successful candidate will support the technical, commercial and operational teams across live residential developments including listed building conversions, new build housing and high-end residential projects.

This role requires a candidate with strong construction administration experience, excellent document control discipline and the confidence to proactively chase consultants, subcontractors, suppliers and internal teams to keep projects moving.

Key ResponsibilitiesDocument Control / Technical Information

Manage all project document control processes across live developments
Maintain Common Data Environment (CDE) systems
Control drawing registers and revision histories
Ensure latest approved drawings are issued to relevant teams
Maintain technical submittal trackers
Issue transmittals
Track consultant information releases
Monitor and log RFIs
Maintain technical queries register
Control revision issue status
Manage design team document flow
Ensure superseded drawings are removed from circulation
Support technical team with drawing coordination administration

Commercial / QS Support

Support Senior QS with subcontract administration
Issue tender enquiries
Maintain tender return schedules
Chase subcontractor quotations
Collate tender comparisons
Manage subcontractor onboarding documentation
Chase insurance / H&S documentation / RAMS / accreditations
Assist with subcontract order administration
Supplier set-up administration
Procurement tracker management
Maintain package procurement schedules
Assist with contract return tracking

Operational Support

Maintain programme document flow
Ensure site teams have current issue information
Support operational reporting
Maintain compliance trackers
Track approvals and submissions
Manage building control documentation
Maintain statutory approvals register
Coordinate consultant meeting documentation
Issue meeting minutes / action trackers
General project administration

Sales / Legal / Customer Care

Maintain legal sales pack document registers
Coordinate handover document collation
Support customer care / aftercare administration
Manage defect reporting documentation
Assist with completion pack collation

Handover / Completion

Compile O&M manuals
Manage as-built drawing collation
Maintain certification records
Collate warranties / guarantees
Manage handover documentation

Office / Business Administration

General office coordination
