Service Delivery Coordinator - Job Description

Salary: Grade 22 - £25,698 pro rata (£14.12 per hour)

Hours: 21 hours per week

Responsible to: Regional Manager

Location: Based at Food Train's branch in 1 Roxburgh Street, Galashiels, TD1 1PB, with occasional travel to other Food Train locations across Scotland as required.

Job Purpose

The Service Delivery Coordinator plays a vital role in ensuring older people receive high quality, reliable and person centred support through Food Train services.

Working closely with volunteers, members, community partners and colleagues, the postholder coordinates day to day service delivery, supports local growth, maintains strong relationships within communities, and helps ensure services are safe, effective and responsive to local need.

The role is responsible for coordinating volunteers and service activities, supporting member recruitment and retention, monitoring service performance, and helping deliver local growth plans aligned with Food Train's strategic ambitions.

Key Responsibilities

Service Coordination

Coordinate the day to day delivery of Food Train services within designated local authority areas.
Ensure services are delivered safely, efficiently and in line with organisational policies and procedures.
Support scheduling and coordination of volunteer activities to ensure continuity of service.
Respond to member enquiries, concerns and service requests in a timely and compassionate manner.
Maintain accurate service records and databases.
Monitor service capacity and identify opportunities to improve efficiency and reach.

Volunteer Support

Support the recruitment, induction and ongoing engagement of volunteers.
Provide day to day support and guidance to volunteers, ensuring they feel valued, informed and connected.
Help identify volunteer development opportunities and recognise volunteer contributions.
Work with Volunteer Coordinators and Managers to address volunteer shortages and improve retention.
Promote a positive volunteer experience that reflects Food Train's values.

Member Engagement

Develop positive relationships with members and their families.
Support member assessments, reviews and service changes where appropriate.
Gather feedback from members to inform service improvements.
Promote member wellbeing, choice, dignity and independence through service delivery.
Identify emerging needs and ensure appropriate support pathways are explored.

Community Development and Growth

Support local growth plans to increase member numbers and volunteer involvement.
Build and maintain relationships with referral agencies, health and social care partners, community organisations and local stakeholders.
Represent Food Train at community events and partnership meetings.
Promote awareness of Food Train services across local communities.
Identify opportunities to extend reach into underserved communities.

Operational Performance

Monitor local service performance against agreed targets and objectives.
Assist with data collection, reporting and evaluation activities.
Support implementation of service improvement initiatives.
Contribute to achieving local growth targets for members, volunteers and service impact.
Identify risks and escalate issues appropriately.

Health, Safety and Quality

Ensure compliance with health and safety requirements.
Support safeguarding and adult protection responsibilities.
Maintain confidentiality and data protection standards.
Contribute to quality assurance and continuous improvement processes.
Promote a culture of safety, inclusion and wellbeing.

Person Specification

Essential Knowledge and Experience

Experience coordinating services, projects or community activities.
Experience working with volunteers, customers, service users or community groups.
Excellent organisational and administrative skills.
Strong interpersonal and communication skills.
Experience building positive relationships with a range of stakeholders.
Ability to manage competing priorities and work independently.
Competent IT skills including Microsoft Office and database systems.
Commitment to the values of dignity, inclusion and person centred support.
Full driving licence and access to transport where required.

Desirable Knowledge and Experience

Experience within the voluntary, community, health or social care sectors.
Knowledge of issues affecting older people.
Experience supporting service growth or community engagement activities.
Experience working across multiple locations or dispersed teams.
Knowledge of safeguarding and adult protection practices.
