The Role
The purpose of the role is to coordinate and support the delivery of Transport for Wales' (TfW) corporate and executive engagement events, ensuring effective planning, logistics and drafting communication for activities involving the Chair, CEO, Non-Executive Directors and Executive Leadership Team.
Role responsibilities
- Supports the successful planning and delivery of high-profile corporate events by coordinating clear communication across teams and directorates, ensuring alignment, shared understanding, and effective execution to achieve organisational goals and minimise risk.
- Coordinate the logistics for multiple events at the same time by working under the guidance of the Senior Events and Visits Manager to ensure delivery against the Corporate Events and Engagement Plan.
- Support the Chair, Non-Executive Directors, CEO and the Executive Leadership Team to take part in high-profile meetings and events by sourcing and drafting a range of content to ensure representatives are well-briefed to champion TfW to promote our expertise, values and successes.
- Maintain accurate and effective record keeping by working with colleagues across the business to understand progress/development of, and TfW's position on, operational policy and other matters of interest to stakeholders managed by the team.
- Supports the delivery of team-led meetings and events by maintaining excellent organisation and prioritisation, ensuring activities run smoothly, deadlines are met, and a high standard of execution is consistently achieved.
- Provides administrative support to the Inclusive Travel Board by coordinating tasks and maintaining effective organisation, ensuring the Board operates efficiently and achieves its intended outcomes.
- Drafts timely, high-quality responses to correspondence from the Welsh Government, UK Government, and elected members by clearly interpreting requirements and presenting accurate information, ensuring effective communication and maintaining organisational credibility.
- Seek the necessary approvals to issue responses or escalate matters by following business requirements and protocols, in a timely manner, to prevent reputational damage.
- Remain impartial within the political environment and be an ambassador for TfW by promoting our vision and values when delivering projects, attending meetings and in communication with internal and external stakeholders to ensure all political stakeholders receive an efficient and professional service from TfW.
- Support the team as required by performing administrative and ad-hoc duties that need to be completed to ensure effective corporate services support.
Who we're looking for
- Excellent communications skills (primarily written), with the ability to understand and interpret complex information, and to communicate this accurately and effectively to a range of audiences.
- Excellent organisational and planning skills, with some experience of project management or project support, ideally gained in an events environment.
- Experience of planning, prioritising and consistently delivering work to a high standard and by the required deadline.
- Experience of building positive working relationships to support achievement of objectives.
- Experience of using Microsoft Office, and the ability to quickly learn new platforms.
- Knowledge and understanding of the political environment in Wales.
- Able to work remotely and flexible working hours in line with business requirements.
Welsh Language Skills
While not essential for this role, Welsh language skills would make a great addition to your application.
