This is a remote working post – you can choose to work fully remote (you can also choose to work from the office or hybrid). Please note that there will be a requirement for the post holder to attend occasional Aberystwyth University events and staff meetings on campus (e.g. Applicant Events, Clearing).
The post-holder will take a senior role within the Global Marketing and Student Recruitment department (GMSR) and be responsible for leading the University's student recruitment CRM strategy, spanning the prospective student journey from enquiry through to enrolment. The post-holder will apply CRM methodologies to build solutions that shape our lead generation, conversion, and recruitment activities.
The post-holder will play a key role ensuring that marketing campaigns are effective, suitably targeted and delivered through our CRM systems to maximise recruitment outcomes.
We are looking for an innovative thinker and excellent problem solver, with great interpersonal skills, and the ability to build strong working relationships with key stakeholders across the department and University. You must have demonstrable knowledge of CRM systems and the implementation of end-to-end CRM journeys/lifecycles.
This job description is subject to review and amendment in the light of the changing needs of the University, to provide appropriate development opportunities and/or the addition of any other reasonable duties.
- To be responsible for developing and delivering the University’s CRM strategy and driving CRM activity and system improvements to support student recruitment. (specifically supporting: Undergraduate, Postgraduate, UK and International recruitment).
- Operate with a high degree of autonomy, setting priorities and direction for CRM activity across the University
- Develop and maintain a CRM performance framework, defining key performance indicators and measuring the impact of CRM activity against student recruitment objectives.
- Provide functional leadership to CRM users across the University, embedding best practice and driving adoption
- To lead on and be the key advisor on the development, management, and configuration of the department’s CRM system– working in close partnership with IT services and external suppliers.
- To shape and influence institutional recruitment strategy through CRM insight
- To be the department’s expert in the CRM system and related technologies, providing specialist advice to colleagues across the University.
- Hold primary decision-making authority for the department’s CRM platform configuration, development roadmap and marketing automation strategy
- Be the primary departmental contact between the external CRM providers and the University and manage the relationships between parties to ensure the system provides solutions to business needs.
- Liaise with staff outside own work team and teams external to the University to ensure the effective exchange of information and to build relationships to facilitate future working.
- Create links to external bodies to ensure an excellent level of service
- Liaise with IT teams to monitor, identify and manage data points and fields across the student record and CRM systems, to increase personalisation and enable us to better target different audiences.
- Lead relationships with internal teams and external suppliers (e.g. Microsoft, Gecko and third-party support providers) to drive the most effective CRM operation.
- To lead and stay abreast of developments within the Higher Education sector and of CRM best practice and technologies and apply these to our strategy, plans and systems.
- To lead and be responsible for ensuring users are trained within the department in the use of the CRM system and relevant technologies. To develop training materials and user guides to ensure staff follow best practice.
- To work with colleagues across the department to drive continuous improvement in CRM nurture and conversion campaigns.
- To implement and manage the provision of a sector leading inbound enquiry management service for prospective students and applicants.
- Hold responsibility for significant CRM budget, ensuring strategic allocation of resources and demonstrable return on investment aligned to recruitment priorities
- Be a member and participate in internal working groups to represent the department and ensure the effective exchange of information and to build relationships to facilitate future working.
- To lead campaign analysis and recommendations for the department, working with recruitment data and market research to ensure excellent analysis for the University.
- Analyse CRM and recruitment data and support colleagues in developing reports, dashboards and other reporting tools within the CRM platform.
- Lead on interpreting data trends and identifying additional data or information required to support further analysis.
- Work with GMSR & IT colleagues to ensure the integrity of data held in the CRM system and support the governance of the CRM platforms (such as managing permissions).
- Oversee resolution of CRM issues, ensuring effective escalation and continuous system improvement
- Act as departmental lead for CRM-related data protection compliance, working with the University’s compliance team
- It is essential that the post holder is willing and can work flexibly: weekend and evening work will be required.
- To undertake health and safety duties and responsibilities appropriate to the post.

Essential
- Educated to degree level.
- Significant experience of leading CRM strategy, processes and system management, with demonstrable evidence of successful outcomes.
- Experience of developing and implementing CRM strategies and initiatives with tangible results.
- Substantial experience of campaign analysis, reporting and insight generation within CRM systems, including the development of evidence-based recommendations.
- Experience of data management including data handling, integrity, transfer, manipulation, and governance
- Expert knowledge and proficiency with using CRM systems and processes.
- Knowledge of GDPR and other data protection procedures in the context of CRM delivery.
- Excellent problem-solving skills and the ability to work on a variety of projects across teams.
- Experience of working and collaborating with a variety of internal and external stakeholders
- Highly developed written and oral communication skills.
- Proven ability to lead complex, multi-stakeholder projects with strategic impact
- Experience of working with budgets
- Willingness and ability to work flexibly: weekend and evening work will be required.
- Oral (spoken) and Written Welsh Level A0. An ability to understand the bilingual nature of the University and an awareness of the procedures in place to support working bilingually

- Evidence of continual professional development within the field.
- Experience of working in the higher education sector.
- Experience in the use of Microsoft Dynamics 365.
