Job Description - Roles and Responsibilities

Term Time Only

Start Date As Soon As Possible Desirable, September 2026 Essential

Professional development:

- Recognise own strengths and areas of expertise and use these to advise and support others

- Participate in training and other learning activities and performance development as required.

Communications:

- Have excellent written and verbal communication skills with high accuracy in English Grammar, spelling and punctuation.

- Responding to day-to-day contact from families over the telephone, via email (Friendly, approachable, confident and accurate)

- Assisting in the preparation of /distribution of two half-termly newsletters to nursery families

- Assisting in the preparation of/distribution of termly newsletters to After-School families

- Drafting and distributing any other communication to families (i.e.: notice of storm closure, trip letters etc.)

- Drafting and issuing parent questionnaires and reporting findings

- Hot lunches – creating order forms

- Hot Lunches – issuing and collating orders from parents and communicating to Chartwells/Staff Team

- Adhere to the setting’s procedures and ensure that staff receive messages promptly and accurately.

- Establish constructive relationships and communicate with all staff and other agencies/professional bodies

Finances:

- Raising and issuing all invoices for both nursery and After-School fees

- Issuing reminders and resolving outstanding debtors

- Reviewing and noting fee payments made - issuing receipts as required

- Reporting outstanding debtors

- Reconciling accounts balance sheets (monthly) (including card transactions, invoice payments and petty cash)

- Reporting requests from treasurer

- Collating and processing Families funding information and submitting all funding information via portal, including estimates, actuals and sufficiency information

- Banking

- Drafting budgets and regular forecasting for treasurer

Human Resources:

- Collate and submit forms to payroll - overtime

- Sending contractual changes to payroll (Variation forms)

- Sending new starters information to payroll

- First contact with payroll queries, which will then be escalated to either manager to payroll

- Drafting, distributing, filing communications to staff about their working patterns, changes to contract etc.

- Inputting Staff information regarding absences and holiday requests

- Maintaining training records

- Maintaining up to date personnel files in accordance with data protection legislation

Registrations:

- Creating and maintaining real-time registrations for both nursery and After-School club

- Creating and maintaining future registrations for both nursery and After-School club

- Issue ASC new starter admission forms and process information- Add to Connect

- Issue Nursery new starter admission forms and process information -Add to Connect

- Maintaining waiting lists

- To maintain and update medical records for both Staff/Children in a timely and precise manner.

Prospecting:

- Creating and maintaining contact with families on the waiting list for both nursery and After-School

- Establishing and maintaining an online presence via social media

- Maintaining website

- Organising prospecting events (e.g.: Open Morning)

- Assist with Marketing and Promoting the Setting via the settings website, Social Media Platforms and other channels.

- Contribute to the overall ethos/work/aims of the setting

Administration:

- Ordering and stock-taking of uniforms

- Ordering equipment and supplies with agreement of Management and Nursery Committee.

- Processing incoming and outgoing post, both paper and electronic

- Minuting Staff meetings

- Coordinating visits from external companies/outings

- Assisting in reviewing and updating policies (using schedule)

- Keep records in accordance with the setting’s retention schedule and data protection law, ensuring information security and confidentiality at all times.

- Collect and distribute parcels and deliveries

- Provide personal, administrative and organisational support to management as required.

- Ensure the office is kept tidy, organised and in good order at all times, making sure there are sufficient office resources available.

Safeguarding/Child Protection:

- Comply with policies and procedures relating to child protection, health and safety, security, confidentiality and data protection, equal opportunities, reporting all concerns to the Nursery/After School Club appropriate person.

- Be committed to the safeguarding and promotion of the welfare of children and young people.

Essential Skills

GCSE Grade C/4 or above (or equivalent) in English and Mathematics.
Minimum of 2 years’ experience in an administrative, finance, HR, or office role.
Experience working within an education, childcare, nursery, school, or other regulated environment.
Proven experience of managing confidential staff, child, and financial records.
Experience using management information systems, databases, and financial software.
Experience processing Early Years Government Funding including eligibility checking, headcount submissions, reconciliation, and audit preparation.
