Job Summary

To support x 2 directors with secretarial duties and diary management.
To ensure all HR and payroll processes and admin are followed within the required timescales.

Primary Responsibilities

Maintain all staff personnel files in accordance with current HR procedures to include the following: -
- Monthly payroll updates (add new starters / leavers to HR system / monitor maternity / paternity leave / statutory recoveries / student loans / driving offences (speeding/parking fines) plus any other ad-hoc payroll requirements which may arise.
- Scanning HR Files and all HR Documents onto individual employees’ electronic files onto the HR System (Success Factors)
- Offer letters / employment contracts / new starter information packs.
- Action HR procedures and follow them up afterwards. Taking care of new starters and leavers, preparing offer packs and references. Liaising with Line Managers to ensure a smooth entry/departure from the business.
- Absence Management – Manage sickness on a weekly basis using internal system and external Bupa system. Monitor and report all instances of staff absence – use system to monitor trends and notify line managers where appropriate. Liaising with managers as and when required to follow up required paperwork
- Attend when required any Disciplinary / Grievance Meetings as note taker for HR / Line Manager.
Director Diary Management.
Company cars – maintain records for all Company car users, order replacement/hire vehicles, maintain P46 tax records for Company car users.
Emails – Monitor Director’s Inbox when away from the office e.g. site visits / annual leave. Print off emails and collate and deal with any urgent queries where appropriate.
Travel / Accommodation – Arranging flights and hotel bookings for Directors as required. Forwarding confirmations for hotel rooms, updating diaries with all details.
Director expenses.
Hospitality / Meetings – Preparing for meetings. Booking lunch / pastries, preparing teas and coffee as required.
Fielding queries from outside companies to the relevant department.
Taking meeting minutes and actions, as required and distributing to the relevant people.
Any other duties as required to meet the needs of the business.

Experience, Qualifications, Technical Requirements

Competent PC skills, including MS Word, Excel, Outlook, PowerPoint
Must have exceptional administrative and organisation skills, ability to multi-task and be able to prioritise workload
Excellent telephone manner is essential
Must be a self-starter, and able to be extremely flexible with regards to daily work
Ability to work under pressure and demonstrate complete confidentiality
Minimum 50 wpm typing
