Duties:
· Assistance in day-to-day administrative tasks such as data entry, document management, diary reminders and monitoring responses, and general record-keeping.
· Design and creation / development of high quality, visually striking documentation and other outputs – reports, training slides, presentations and online marketing materials.
· Support our IT administrator in basic day to day trouble shooting and maintenance of system functionality.
· Handling incoming enquiries and correspondence, both internally and externally.
· Contribution to office management and housekeeping - work as directed to ensure a welcoming, tidy office and optimal visitor and staff experience.
· Coordination and schedule meetings, conferences, and appointments.
· Collaboration with different team members to ensure seamless communication and support execution of corporate projects in areas such as facilities and marketing.
· Contribution to process improvement initiatives under our Quality Assurance protocols to enhance administrative efficiency.
· Help research certain areas relevant to our services and corporate function to feed into drafting items such as policies and procedures and company communications.
· Maintain a proactive and adaptable approach to tackle diverse tasks as they arise.
· Occasional opportunities to provide support in financial administration activities for our accounts function where requested.
As a Focus administrator, you will play a vital role in supporting our administrative and corporate function and report primarily to the Administration Manager. We do not employ ordinary administrators here – your role will be varied and allow for continuous development in role within a rapidly growing firm; plus, we are keen to embrace staff ideas, so bring plenty of drive and a ‘can-do’ attitude. You will have the chance to develop a wide range of skills and gain exposure to various aspects of our business, setting the foundation for your professional growth.
We're looking for an individual who can thrive in a deadline driven and quality conscious environment and is eager to learn. The successful candidate need not necessarily have prior experience working in such a varied role as training is provided; however, some office-based administration experience is desirable and the right attitude and general aptitude are vital. Requirements:
· Good general educational background in core elements of English and Mathematics.
· Excellent IT literacy and ability to learn new systems easily – vitally, with advanced Microsoft Office skills, and ideally previous design experience.
· Artistic flair in the aesthetics of developing and reformatting eye-catching electronic marketing materials, reports and presentations is essential.
· Strong written and verbal communication skills, with high attention to detail.
· Positive, approachable personality with the ability to build strong relationships.
· Ability to manage a busy workload, prioritize tasks, and meet deadlines.
· Self-motivated, proactive team player able to work independently with some supervision.
· Trustworthy, discrete, and aware of confidentiality requirements for certain areas of processing.
· The ability to deliver excellent customer service internally and externally.
· Interest in sustainability desirable.
