Full job description

Salary: £30,000–£35,000 per annum, depending on experience

Position: Full-time permanent

Employment: Self-employed

Start date: September 2026

Location: Home-based/remote – applicants preferably located in or within reasonable travelling distance of Maidstone, Kent

Overtime: Available when required

About the Role

We are looking for a highly capable, organised and self-motivated Executive PA to provide direct support to the Director of a growing construction and property business.

This is not a traditional PA role. Alongside diary, email and day-to-day executive support, you will be involved across many areas of the business, including finance, construction projects, procurement, property matters and general operations.

No two days are the same and priorities can change quickly. We are therefore looking for someone who is switched on, resourceful and confident working independently. You should be comfortable using your own initiative, finding information and solutions for yourself, and taking ownership of tasks through to completion without requiring constant direction.

The role will continue to evolve as the business grows, offering plenty of opportunity for increased responsibility and progression.

Key Responsibilities

· Providing day-to-day Executive PA support to the Director, including diary management, correspondence, prioritising requests and acting as the first point of contact for business calls, emails and enquiries.

· Managing weekly payroll and wages, client invoicing, outstanding payments, supplier/subcontractor invoices, credit accounts and general finance administration.

· Maintaining financial records using systems including VT Transaction+, assisting with CIS, DRC and VAT paperwork, and working closely with external accountants across multiple companies and SPVs.

· Maintaining project financial records, including costs, income, expenditure and profit & loss, alongside price lists and other commercial information.

· Supporting construction projects through procurement, ordering materials, site requirements and general project administration.

· Managing and organising architectural drawings, plans and project documentation, ensuring the Director has access to accurate and up-to-date information.

· Supporting property matters including insurance, tenancy administration, inspections, Land Registry and project finance documentation.

· Managing company vehicles, including insurance, servicing, MOTs, maintenance and renewals.

· Liaising with clients, suppliers, subcontractors, accountants, professional advisers, utility providers and other third parties.

· Maintaining company systems and records, researching information, resolving queries independently and handling varied ad-hoc business and personal requests for the Director.

About You

You will be highly organised, proactive and self-motivated, with the confidence to work independently and take ownership of your responsibilities.

You’ll be resourceful, quick to learn and comfortable finding solutions for yourself. Excellent attention to detail, strong communication skills and the ability to prioritise tasks and reorganise your days workload to suit the needs of the Director and any urgent requests is essential.

Essential Skills & Experience

· Previous experience in a PA, Executive Assistant, Office Management, Administration or similar role.

· Strong knowledge of Microsoft Office, particularly Outlook, Word and Excel.

· Confident working with spreadsheets, figures and financial records.

· Excellent written and verbal communication skills.

· Strong organisation, time management and attention to detail.

· Confident learning new software and working independently from home.

· Experience within construction/property, bookkeeping, payroll, CIS, invoicing, project cost tracking or VT Transaction+ would be advantageous but is not essential.
