The Role
We are seeking a proactive customer-focused Reception & Administrative Assistants to provide a friendly and efficient front-of-house service at our Community Hub. You will be responsible for reception duties, administrative support, data entry, and supporting programme staff during some sessions. This is an essential role in ensuring the smooth daily operation of the Hub, providing a welcoming environment for all.
Key Responsibilities
- Provide a warm and professional welcome to all visitors, staff, and participants of all ages.
- Manage the Hubs front desk, answering enquiries in person, via phone or email.
- Maintain visitor and staff registers and ensure data is accurately logged.
- Support with general administrative tasks: filing, printing, photocopying, basic record keeping.
- Use CRM or data systems to input or extract participant data and session registers.
- Prepare rooms and support staff ahead of sessions where needed and ensure rooms are tidied in preparation for upcoming sessions.
- Monitor footfall and support collation of monitoring data.
- Support with opening and locking up of the building as required (training provided).
- Ensure noticeboards and displays are kept up to date.
- Log incidents and escalate any issues to relevant departments.
- Help ensure the reception area is always clean, organised, and accessible.
- Keep the Hub kitchen and rooms tidied and clear of hazards.
- Keep facilities and common areas clean, safe, hygienic and well-maintained for staff and visitors.

You will play a key role in supporting the delivery of a community-based service, acting as the first point of contact for our local community. Working collaboratively with colleagues and partners, you will help ensure individuals feel welcomed, supported, and able to access the services they need.

You will be a welcoming and organised individual who serves as the first point of contact at our Community Hub. You will be reliable, approachable and able to create a welcoming and positive environment for our local community.
