Job Description: Stock Coordinator
Salary: £27,825 per annum plus up to 10% personal and company performance bonus
Probation: 5-month probation period
Reports to: Operations Manager / Warehouse & Logistics Lead
Location: implantcast UK Ltd, Aston, Birmingham
Hours: 8:30am – 4:30pm, Monday to Friday, no weekend working
Job Purpose
implantcast UK is a growing medical device company specialising in orthopaedic implants and instrumentation. We are looking for a motivated and organised Stock Coordinator to join our Operations team.
The Stock Coordinator plays a vital role in ensuring the efficient movement, control and accuracy of stock throughout the business. This position supports the daily operation of our warehouse, loan kit management, customer order fulfilment and inventory control processes, ensuring products are available for customers when required while maintaining the highest standards of quality and traceability.
Working within a fast-paced environment, the successful candidate will be responsible for maintaining stock accuracy, supporting customer service excellence and contributing to the continual improvement of warehouse and logistics processes.
Key Responsibilities
Inventory Management
- Receive, inspect and accurately book stock into company systems.
- Pick, pack and dispatch customer orders in accordance with company procedures.
- Process stock movements accurately within internal systems.
- Maintain stock accuracy through regular cycle counts and stock audits.
- Ensure stock is correctly identified, labelled and stored.
- Monitor stock levels and assist with inventory planning.
- Rotate expiring stock using appropriate stock rotation principles.
- Identify and report stock discrepancies promptly.
- Support annual stock takes and periodic inventory audits.
Orthopaedic Loan Kit Management
- Prepare, assemble and dispatch orthopaedic loan kits.
- Ensure loan kits are complete, accurate and dispatched on time.
- Process returned loan kits efficiently.
- Coordinate replenishment of loan kits.
- Monitor kit availability to maximise utilisation.
- Support urgent same-day and emergency requests where required.
Warehouse Operations
- Maintain a clean, safe and organised warehouse environment.
- Follow warehouse procedures and Health & Safety requirements.
- Assist with warehouse housekeeping and organisation.
- Support continuous improvement initiatives within warehouse operations.
Logistics & Distribution
- Arrange domestic and international courier collections.
- Liaise with courier companies regarding collections and deliveries.
- Track shipments and proactively resolve delivery issues.
- Assist with import and export documentation where required.
- Monitor delivery performance and escalate concerns.
Customer & Sales Support
- Respond promptly to internal sales team requests.
- Support customer enquiries relating to stock availability.
- Work closely with Customer Services and Sales to ensure excellent customer service.
- Help prioritise urgent customer requirements.
Quality & Compliance
- Carry out quality inspections on returned instrumentation.
- Assist with quality control processes.
- Maintain accurate records to support product traceability.
- Follow company quality procedures and work instructions.
- Support compliance with ISO 9001 and ISO 13485 quality standards.
- Escalate any quality concerns promptly.
Systems Administration
- Accurately maintain data within company ERP systems.
- Ensure stock records remain current and accurate.
- Support system improvements where appropriate.
Team Support
- Provide support to the Warehouse & Logistics Lead.
- Work collaboratively across Operations, Customer Services and Sales.
- Assist colleagues during busy periods.
- Contribute ideas for improving efficiency and service.
