We are seeking a highly organised and proactive Sales Administrator to support our busy Embroidery and Garment Branding Department. This is a varied and hands-on role suited to someone with experience in garment branding, embroidery, or promotional clothing who can confidently manage customer orders, artwork processes and production coordination.
This position combines sales administration, artwork coordination and production planning support, ensuring that orders progress efficiently from enquiry through to completion.
Key Responsibilities
Sales Administration & Customer Service
- Process customer enquiries, quotes and sales orders accurately.
- Provide product recommendations and pricing for embroidery and printed garments.
- Manage customer accounts, including order updates, delivery tracking and lead times.
- Handle incoming calls, email enquiries and event-related queries.
- Maintain accurate records within internal systems.
Embroidery & Print Design Coordination
- Prepare and manage clothing proofs for all garment orders (each item proofed and collated per order).
- Set up print and embroidery files using design software (e.g. CorelDRAW; Illustrator advantageous).
- Ensure correct sizing, positioning and colour approvals for all embroidery and print files.
- Manage pricing associated with embroidery and print setups.
- Issue proofs to customers and monitor/chase approvals to avoid delays.
- Process web orders, including proofing, approval tracking and artwork setup.
Website & Event Range Support
- Allocate branding methods (print vs embroidery) for new product ranges.
- Size all artwork and approve colour usage across ranges.
- Create full proof suites for garment branding, including:
- Numbering all approved designs.
- Standardising artwork across event ranges.
- Ensure consistency and accuracy across all web and event-based orders.
Order Processing & Coordination
- Key and process all garment branding orders.
- Liaise with production teams to ensure deadlines are met.
- Manage order flow from enquiry through to production and dispatch.
- Communicate with suppliers regarding garment availability and timelines.
Planner & Production Management Support
(This is a critical function that must be managed internally to ensure operational success.)
- Support or take responsibility for daily production planning, including:
- Allocating work to the garment production team based on urgency and order date.
- Managing workflow for digitising and artwork setup.
- Creating job packs, T-cards, or job bags for event and garment orders.
- Monitor:
- Back orders and delayed garment deliveries (liaising with stock control where required).
- Orders on hold and ensure timely resolution.
- Ensure production deadlines are structured, communicated and met.
Essential Requirements
- Proven experience in garment branding, embroidery, print, or promotional clothing.
- Strong administrative and customer service background.
- Experience handling artwork proofs and order processing.
- Excellent attention to detail and organisational skills.
- Ability to work in a fast-paced, deadline-driven environment.
- Confident communication skills and professional telephone manner.
- Proficiency in Microsoft Office and order processing systems.
Desirable Skills
- Working knowledge of embroidery digitising and garment decoration processes.
- Experience with CorelDRAW, Adobe Illustrator, or similar design software.
- Experience managing production workflows or planning schedules.
- Background in workwear, uniforms, or promotional merchandise.

Important Note on Role Scope
This role combines sales administration, artwork coordination and elements of production planning. Effective management of the production planner is essential and must be handled within the office environment to ensure deadlines are consistently met.
Depending on experience, responsibility for planner management may sit fully within this role or be shared with a more senior team member.
