Job purpose

To provide comprehensive administrative support to the SEND department while also delivering targeted learning interventions for pupils with Special Educational Needs and Disabilities (SEND).

The role combines efficient SEND administration (including statutory processes and record management) with structured pupil support to promote inclusion, progress and positive outcomes.

SEND Administrative Duties

Act as a point of contact for SEND-related queries.
Liaise professionally and support communication between/with: Parents/carers, Educational Psychologists, Speech & Language Therapists, Local Authority SEND teams and any other relevant parties
Maintain accurate and up-to-date SEND records (electronic and paper-based).
Support the administration and arrangements of EHCP processes, including: annual and interim reviews, phase transfer documentation.
Prepare and distribute review paperwork within statutory deadlines.
Collate professional reports for meetings.
Maintain SEND Register
Support census returns and SEND related data submission
Record and update provision maps and intervention trackers.
To undertake a range of administrative duties to ensure an effective office environment.
To minute parental/carer attendance meetings and complete filing and mailing of letters relating to this
To obtain, collate, and despatch all paperwork relating to the attendance and behaviour escalation system
To take messages as and when required and forward to the appropriate department or member of staff.
Filing, record keeping, sorting mail, making appointments etc
To undertake a range of word processing tasks as required, such as letters, records, lists etc.
To ensure that the Academy’s ethos and positivity is effectively communicated to all visitors.
To open mail on receipt, manage the own and central email systems, ensuring that all correspondence is marked with the date of receipt, sorted and distributed as directed.
To make phone calls on behalf of the team.
To update management actions on SIMS following meetings
To assist with the order process for the pastoral team using the relevant system and budget
Ensure all documentation, information sharing and recording complies with GDPR and confidentiality requirements

Learning Support & Interventions

Design, plan and deliver structured group and 1:1 interventions (e.g., literacy, numeracy, social skills, emotional regulation).
Support pupils in accessing classroom learning.
Implement and review personalised learning plans, including EHCP outcomes
Implement targets outlined in EHCPs or SEND Support Plans.
Monitor and record progress and impact of interventions.
Provide regular feedback to the SENCO, teaching staff and any relevant other staff or external professional
Support pupils with organisation, engagement, and independent learning.

Inclusion & Pupil Support

Promote inclusive practice within the academy and classroom spaces.
Provide enhanced support for pupils with additional needs during key transitional times.
Assist with exam access arrangements where appropriate.
Contribute to behaviour support strategies in line with school policy.

Professional Responsibilities

Maintain confidentiality at all times.
Undertake training related to SEND, safeguarding and data management.
Support whole-school inclusion priorities.
Participate in appraisal and professional development.

Standard duties

Promote and implement equality and diversity.
Adhere to legislation and the Academy’s policies and procedures
Due regard to safeguarding and promoting the welfare of children and young people.
Will model the Academy’s values at all times to generate a shared purpose
Respect confidentiality. Confidential information to be kept in confidence and not released to unauthorised persons.
To undertake any other duties as appropriate, commensurate with the grade of the post.

Appointments are subject to satisfactory references and enhanced DBS checks.

In addition to the above specific duties all staff are required to:

Attend appropriate meetings, both within the Academy and as appropriate to your role

Probation period

Post holders who are not to the Trust will be subject to a probation period of 6 months. The probation period provides a structured framework to ensure employees are inducted into the Trust and understand the standards expected of them in terms of performance, attendance and behaviour.

DBS

This post requires DBS clearance and is subject to Enhanced clearance from the Disclosure and Barring Service as well as a range of other safeguarding checks.

Rehabilitation of Offenders Act 1974
