Event Coordinator and Administration Assistant
Location: Somerset YFC Office
Salary: £13.00 - £15.00 per hour, depending on experience
Hours: Part-time, 15-21 hours per week
About Somerset Young Farmers' Club
Somerset Federation of Young Farmers' Clubs is one of the largest rural youth organisations in the county, supporting approximately 800 members across 21 clubs.
Young Farmers provides opportunities for young people aged 10-28 through competitions, social events, training, public speaking, travel and personal development. Our aim is to provide "Fun, Learning and Achievement" whilst supporting young people to develop confidence, skills and lifelong friendships.
We are seeking an organised, enthusiastic and motivated Events and Administration Assistant to support the day-to-day operation of Somerset YFC and play a key role in planning and delivering a wide range of events, competitions, fundraising activities and opportunities for young people throughout the year.
The Role
This is a varied role that combines office administration with the planning and delivery of events, competitions and fundraising activities across Somerset. The successful candidate will play a key role in supporting members, volunteers and committees whilst helping to organise and deliver a busy programme of county activities throughout the year.
Key Responsibilities
Administration
- Support the County Organiser with the day-to-day running of Somerset YFC.
- Respond to enquiries from members, volunteers and the public.
- Coordinate new member enquiries and liaise with Club Officers.
- Maintain accurate records through the NFYFC membership system.
- Process and administer DBS checks and associated records.
- Assist with competition entries and registrations.
- Assist with the administration of county competitions.
- Liaise with businesses, sponsors and supporters regarding event requirements, sponsorship arrangements, donations, equipment hire and event supplies.
- Maintain filing systems, databases and office records.
- Support safeguarding and welfare administration
Events
Organise and support the delivery of:
- County Rally and associated activities.
- County competitions and training events.
- County Ball, Carol Service and Harvest Supper.
- Bath & West Show and other agricultural shows.
- South West Area events.
- Club training events and development opportunities.
- Fundraising activities and special projects.
Responsibilities may include venue bookings, registrations, volunteer coordination, event logistics, administration and on-the-day support. Attend county events, competitions and meetings as required, including occasional evenings and weekends.
Fundraising and Development
- Deliver fundraising activities and campaigns.
- Support sponsorship and partnership opportunities.
- Help identify funding opportunities and grants.
- Assist with grant applications and reporting requirements.
- Identify, source and support projects and initiatives that enhance opportunities for Somerset YFC members.
Member & Volunteer Support
- Provide administrative support to clubs, members and volunteers across Somerset.
- Assist with membership administration and record keeping.
- Support clubs, committees and volunteers in the delivery of county activities.
- Assist committees and volunteers with the administration of events.
- Attend meetings if required and take minutes where necessary.
- Support the delivery of projects and initiatives that benefit Somerset YFC members.
Person Specification
Essential
- Excellent organisational and administrative skills.
- Strong written and verbal communication skills.
- Ability to prioritise and manage multiple tasks.
- Good IT skills including Microsoft Office.
- Ability to work independently and as part of a team.
- Strong attention to detail.
- Willingness to work occasional evenings and weekends.
- Experience in administration or office support.
- Experience planning, coordinating or delivering events.
- Ability to work effectively with volunteers, committees and stakeholders and be confident communicating with a wide range of people including young people, volunteers, committee members, sponsors and external organisations.
- Experience supporting fundraising activities.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Full UK driving licence and access to a vehicle.
Desirable
- Experience working with volunteers, charities or community organisations.
- Understanding of safeguarding responsibilities when working with young people.
- Knowledge of the agricultural, rural or voluntary sector.
- Experience identifying funding opportunities and assisting with grant applications and funding bids.
Training, including Safeguarding, will be provided where required.
