Job Title:

Post Completion Conveyancing Assistant

Department:

Residential Conveyancing

Reports To:

Head of Conveyancing

Location:

Office Based

Job Purpose

To provide efficient and accurate administrative support in the post-completion stage of residential property transactions. The role ensures all post-completion formalities are dealt with in line with regulatory requirements, firm procedures, and client expectations.

Key Responsibilities

SDLT - Preparing and submitting Stamp Duty Land Tax (SDLT) returns to HMRC.
Registrations - Preparing and lodging applications for registration at HM Land Registry.
Requisitions - Monitoring and chasing applications at HM Land Registry and dealing with requisitions in a timely manner.
Post completion workflows - Ensuring all post-completion formalities are dealt with by running system driven workflows.
Accounts - Checking completion statements, apportionments, and disbursements and raising final invoices.
Correspondence - Liaising with clients, solicitors, lenders, and other third parties as required.
Case management - Maintaining accurate records on the case management system and ensuring all documents are filed appropriately.
Compliance – Handling files from completion to closure in compliance with the firm’s policies and the Solicitors Regulation Authority (SRA) standards supervised by the file handler.
Administration - Assisting the wider conveyancing team with general administrative support where necessary.

Client Service

Deliver a high standard of client care at all times
Handle information sensitively and professionally
Manage complaints or concerns at an early stage where possible

Key Skills & Experience

Essential

Previous administrative experience within a legal environment.
Excellent communication skills (both verbal and written).
Strong organisational and time management skills.
Ability to work independently and as part of a team.
Competent IT skills.
The desire to do well and exceed in your role.

Desirable

Previous conveyancing experience at any level.
Good understanding of the residential conveyancing process.
Familiarity with HM Land Registry procedures and SDLT submissions.
