Event Coordinator

Full Time | Permanent | On Site | Lichfield
Schedule: Monday to Friday, 9:00am to 5:30pm
Salary: £28,000 per year
Saturday event attendance: £20 per hour
Sunday event attendance: £22 per hour

Lemoncake Events is looking for an Event Coordinator to join our Lichfield team and take an active role in planning and delivering events from the first client conversation through to the day itself. This is a hands on coordination role covering event planning, venue and supplier management, scheduling, client communication, logistics and live event support.

Alongside a £28,000 salary, weekend event attendance is paid at an enhanced rate of £20 per hour on Saturdays and £22 per hour on Sundays. You will work across a varied calendar that can include corporate events, product launches, weddings and private celebrations, giving you exposure to both the organisational and creative sides of professional event delivery.

The role

Lemoncake Events provides end to end event planning, covering everything from the initial concept and timeline through to venue selection, catering, décor, supplier coordination and on site management. The focus is on creating tailored events while keeping every practical detail organised behind the scenes.

As an Event Coordinator, you will sit at the centre of that process.

You will turn client requirements into workable event plans, coordinate the people and suppliers involved and keep schedules, bookings, budgets and practical arrangements moving to deadline.

The role is varied. One day may involve comparing venue options, requesting supplier quotes and updating an event schedule. Another could include confirming catering requirements, speaking with a client about final details, checking décor arrangements or supporting the team at a live event.

We are looking for someone who enjoys that combination of organisation, communication and practical problem solving.

What you will be doing

Coordinate events from the initial client brief through planning, preparation, delivery and post event follow up.
Create and maintain event timelines, schedules, run sheets, task lists and planning documents, keeping deadlines visible and projects organised.
Liaise with venues, caterers, suppliers, vendors, contractors and other external partners regarding bookings, availability, timings and event requirements.
Support venue sourcing and coordination, considering capacity, layout, accessibility, guest requirements, event style and practical logistics.
Coordinate catering, décor, equipment, entertainment, promotional materials and other event requirements depending on the individual project.
Communicate with clients throughout the planning process, providing clear updates, confirming requirements and responding professionally when plans change.
Assist with event budgets, supplier quotations, purchase records and cost tracking to help projects remain within agreed budgets.
Prepare accurate event documentation including booking information, supplier details, schedules, attendee information, contact lists and final event requirements.
Attend selected events and provide on site coordination, working with suppliers, venues, clients and colleagues to keep timings and logistics running smoothly.
Respond quickly to operational issues during live events, finding practical solutions while maintaining a professional experience for clients and guests.
Support post event follow up, feedback and evaluation, recording useful information and identifying improvements for future events.
Maintain organised records using email, calendars, spreadsheets, CRM systems and other digital planning tools.

What we are looking for

You do not need to come from one specific events background.

We are particularly interested in people with experience in event planning, event coordination, hospitality, conferences, venues, weddings, corporate events, project coordination, customer service, administration, operations, marketing or client services.

You might currently be working as an Events Assistant, Event Administrator, Wedding Coordinator, Venue Coordinator, Conference Assistant, Hospitality Supervisor, Project Coordinator, Marketing Assistant or Operations Assistant and be ready to take on broader responsibility.

We are looking for someone with:

Strong organisation and time management skills, with the ability to handle several deadlines, bookings and priorities at once.
Clear written and verbal communication skills and the ability to build professional relationships with clients, suppliers, venues and colleagues.
Good attention to detail when working with schedules, guest information, supplier arrangements, budgets and event documentation.
Practical problem solving skills and the ability to adjust quickly when timings, availability or event requirements change.
Strong customer service skills and an understanding of how communication and attention to detail influence the overall client experience.
Confidence coordinating different people and moving parts while keeping track of what has been agreed and what still needs to be completed.
Good administrative and computer skills, including Microsoft Outlook, Word and Excel or similar systems.
Experience using calendars, spreadsheets, booking systems, CRM platforms or project management tools would be useful.
Commercial awareness when comparing supplier options, reviewing costs and working within agreed event budgets.
A collaborative approach combined with the ability to manage your own workload and follow tasks through to completion.
Availability to attend occasional weekend events when required.

For an Event Coordinator, this means you are not restricted to one narrow administrative function.

You will gain practical exposure to client management, event logistics, venues, catering, suppliers, décor, timelines, budgets and live event operations while seeing projects progress from an initial idea to a completed event.

Salary and benefits

£29,000 annual salary
Saturday event attendance paid at £20 per hour
Sunday event attendance paid at £22 per hour
