Company Overview
Cairnview Windows & Doors is a proud, female-led family business built on honesty, integrity and genuine care for our customers.
We have grown through our reputation for quality, craftsmanship and personal service, and we are now entering an exciting period of planned growth.
As part of this growth, we are looking for an experienced Customer Service Co-ordinator to take ownership of the customer journey from handover through to completion.
We are looking for the right person to join our team, who can quickly become confident in processes, work confidently and independently, and bring a genuinely high standard of customer care, organisation and attention to detail to the role.
What the role involves
You will take ownership of the customer journey once the sales and survey stages are complete, working closely with our Operations Manager, Procurement Officer, Installation Manager and fitting teams to keep each job moving smoothly.
Your responsibilities will include:
- Scheduling installations in advance and maintaining clear visibility of whether jobs are ready to install
- Liaising with procurement regarding lead times, delays and order updates
- Keeping customers proactively informed throughout their journey
- Owning the service call process from initial logging through to resolution
- Providing aftercare that leaves customers feeling genuinely supported
- Managing completion paperwork, payment reminders and job close-out
- Ensuring our CRM system, AdminBase, is accurate, up to date and easy for others to follow
- Contributing to weekly operational reporting and highlighting risks or delays early
- Preparing clear handovers so weekend staff can manage ongoing customer enquiries confidently
Who we’re looking for
At Cairnview, how someone works is just as important as the experience they bring.
We are looking for someone who shares our values of being honest and transparent, putting customers at the heart of every decision, and maintaining high standards of quality and service.
As a family-run business, we also care deeply about the reputation and legacy we are building for the future. We need someone who takes pride in doing things properly, communicates openly, supports their colleagues and takes ownership of delivering the right outcome for every customer.
This role would suit someone who is already comfortable managing a busy and varied workload and who can take ownership without needing constant direction.
Ideally, you will bring:
- Experience in scheduling, operations coordination or customer service, ideally gained within construction, home improvements or another service-based environment
- The confidence to work independently and take ownership of your responsibilities
- Excellent organisational skills, with the ability to manage several enquiries and actions without things slipping
- Confidence using IT systems and job management software
- Experience using AdminBase or a similar system would be an advantage
- A warm and professional communication style that builds trust with customers and colleagues
- A proactive approach, with the confidence to raise risks, delays or concerns early
- Good attention to detail and a commitment to keeping records clear and accurate
