Job Title: Deputy Estates Manager
Reports To: Estates Manager

Location: Cardiff - Fairwater Community Campus Only
Contract: Full Time
Hours of work: 40 Hours a Week - Split Daytime Shifts on Rotation (8:00am -4:00pm / 10:00am - 6:00pm / 11:30am - 7:30pm)
Salary: £33,000 - £36,000 per annum

The Role
As our Business continues to grow, we have an exciting opportunity for a Deputy Estates Manager to join an established Maintenance Team in Cardiff on a new Flagship School Campus in Fairwater.
As Deputy Estates Manager, you will be assisting management of the Fairwater Campus Estates Team reporting directly to the Estates Manager. Ensuring efficient running of the facilities in a professional manner with a high level of compliance management and safeguarding of the staff, pupils and external stakeholders. Delegating work accordingly to the wider Estates team and stepping in for the Estates Manager when required.
Experience in a similar role and detailed knowledge are essential for this role. We also have a strong reputation for developing people and offering career progression.
Duties & Resonsibilities
Organisation & Supervisory / Managerial
- Attend pre-contract meetings if the Estates Manager is unavailable.
- Demonstrate and assist in the safe and effective use of specialist equipment / materials.
- Provide specialist advice and guidance as required.
- Porter duties, e.g. delivering mail, moving furniture and equipment.
- Assist in the management, administration and operation of Estates Team.
- Monitor and manage stock within an agreed budget, cataloguing resources and undertaking audits as required.
- Where appropriate to organise and administer the use and maintenance of all school vehicles and to carry out driving duties when required by the Headteacher.
- Maintain the site diary on a daily basis, where applicable.
- Manage the activities of external contractors on-site and monitor and report on associated budgets.
- Contribute to the planning, development and monitoring of premises services.
- Offer support to Estates Manager for daily tasks and operations.
- Lock / unlock school buildings and areas.
- Undertake regular security checks and identify security risks.
- Operate and respond to alarm systems where appropriate.
- Monitor CCTV or surveillance equipment where appropriate in line with agreed policy.
- Liaise with police, security and surveillance contractors.
- Provide emergency access to the school site.
- Undertake appropriate repairs, e.g. redecorating and fixing.
- To organise and carry out various maintenance duties to ensure that the general upkeep and maintenance of the premises is satisfactory, as per specific schedule for your school.
- To organise and carry out minor improvement work, e.g. erecting shelves, notice boards, bookshelves etc. as agreed with the Headteacher
- To assist with the operation of a preventative planned maintenance programme and for routine inspections of the buildings, fixtures, fittings, furniture, premises and grounds to assess for minor work or repairs require to be carried out to maintain safe and satisfactory conditions.
- Operation and maintenance of heating plant and lighting systems.
- To oversee and monitor the electrical testing of portable electrical appliances and to maintain the appropriate records.
- Undertake regular site inspections.
- Identify defects and record repair and maintenance requirements.
- Monitor performance of contracts and record performance against specified standards.
- Manage contractors.
- Ensure that satisfactory levels of caretaking, cleanliness and hygiene are achieved and maintained through the whole of the premises.
- Ensure the pathways and all other external hard surface areas are kept clean, free of litter and that they are gritted or salted when required during wintry conditions.
What We Are Looking For
- Experience in similar role, leading a team, communicating with clients and suppliers, ordering materials.
- Broad technical knowledge in maintenance for understanding mechanical and electrical remedial work quotes.
- Motivated individual that can work as part of a team and to their own initiative.
- Ability to be proactive with tasks and duties.
- Excellent customer service skills while dealing with clients. Sometimes in emergency situations.
- Excellent telephone & email manner, with the ability to communicate clearly, effectively and maintain a high level of professionalism.
- Strong communication and interpersonal skills, with the ability to explain technical information clearly.
- Good knowledge of Microsoft systems to include Word, Excel, PowerPoint, Outlook and the Internet.
- Committed to following procedures and ensuring tasks are fully completed.
- Exceptional organisation skills, with the ability to prioritise to meet deadlines.
- Able to work under pressure, individually and as part of a team with a flexible approach to meet the needs of the business.
Desirable / Beneficial
- Industry Qualification (e.g. IWFM, RICS, NVQ)
- Proven Estates Experience, ideally in a FM Provider Environment.
- Experience in Facilities Management, Maintenance, Construction or a related industry.
