Purpose of the job:
The Facilities Officer is a key member of staff, responsible for safeguarding students, staff and college facilities and for being a public-facing ambassador of the College. The upkeep of the college, through essential and planned maintenance work in addition to wide-ranging security detail, are essential aspects of the role.
By the nature of the responsibility, the following list is not exhaustive but is a guideline as to the main requirements of the role. The Facilities Officer must be willing and flexible, prepared to carry out reasonable tasks not necessarily covered within this Job Description.
The role requires the post holder to work a shift pattern.
Maintenance:
- Carry out weekly Planned Preventative Maintenance (PPM) duties in line with training, qualifications, and experience.
- Respond to helpdesk requests and emergency maintenance tasks as directed by the Line Manager, Director of Operations and Finance, or Senior Leadership Team (SLT).
- Carry out required legislative and compliance checks.
- Admit, supervise, and support maintenance contractors while on site.
- Work collaboratively with and support staff across the college.
- Take a proactive approach to identifying and resolving maintenance issues, independently attending to tasks where appropriate.
- Undertake a range of maintenance duties including repairs, general building work, and upkeep of facilities.
- Support the ongoing maintenance and development of college facilities through any reasonable duties required.
- Maintain a professional, flexible, and positive approach at all times.
- Continuously develop maintenance knowledge and skills through team learning opportunities and external training where required.
- Ensure all required training remains current, including training related to manual handling and the safe use of chemicals.
- Be aware that the role may involve physical work, including heavy lifting and handling of materials and equipment.
Security:
- Prioritise the security, health, safety, and wellbeing of students, staff, visitors, college buildings, and property throughout operational hours and across the academic year.
- Secure and unlock campus buildings in accordance with procedures.
- Welcome and assist students, staff, and visitors in a professional manner.
- Manage post and deliveries as required.
- Control, issue, and maintain custody of keys in accordance with established procedures.
- Carry out regular patrols across campus and respond appropriately to incidents or situations as directed.
- Conduct internal and external patrols independently, where required.
- Proactively respond to security concerns, incidents, and emergencies as they arise.
- Contact and liaise with emergency services where necessary.
- Record incidents accurately and complete clear, concise reports in line with procedures.
- Operate and monitor security systems and equipment, ensuring all equipment is correctly maintained and faults are reported promptly.
- Support and manage difficult or confrontational situations professionally and appropriately.
- Assist with reception-related duties including telephone calls, alarm activations, incident logs, door systems, CCTV monitoring, and access control systems.
- Carry out duties associated with open days and other college events.
- Carry out fire safety checks and support evacuation procedures, including fire alarm testing.
- Work in accordance with the all college policies and procedures.
- Attend required training and follow guidance from the Line Manager as necessary.
Facilities:
- Assist with the movement and arrangement of furniture, equipment, and resources as required.
- Prepare and set up rooms and facilities for meetings, events, and special activities.
- Carry out energy-saving checks, including ensuring lights, projectors, and other equipment are switched off when not in use.
- Support emergency evacuations, including assisting individuals with additional needs where required.
- Carry out daily refuse and recycling duties, including positioning heavy-duty bins for collection.
Health & Safety:
- Follow all college health and safety procedures across all sites.
- Report hazards, concerns, incidents, and near misses promptly.
- Maintain up-to-date mandatory training and participate in additional health and safety training where required.
- Undertake IOSH Working Safely training and any other mandatory health and safety training.
Person Specification:
- Be physically able to meet the demands of the role, including lifting, standing, and walking for extended periods.
- Demonstrate adaptability, flexibility, and sound judgement.
- Possess strong organisational skills and the ability to work independently while contributing effectively within a team environment.
- Build positive working relationships with colleagues and stakeholders.
- Communicate clearly and effectively, actively listening and responding constructively to feedback.
- Work professionally and respectfully with others, maintaining confidentiality and treating individuals fairly and sensitively.
- Represent CSFC in a professional manner and deliver a high standard of customer service to students, parents, guardians, agents, staff, and external providers.
- Maintain a positive and supportive approach to work.
- Hold a recognised trade qualification or be working towards achieving one.
- Have experience across a range of practical skills including repairs, maintenance, building work, and decorating.
- Be willing and able to work flexible hours and provide cover for colleagues during periods of holiday or absence where required. Overtime may be available subject to management approval and college discretion.
Safeguarding Responsibilities:
Cardiff Sixth Form College is committed to its responsibility for safeguarding and promoting the welfare or its students in line with government recommendations and policies. Due to this, all staff at the college have a responsibility for safeguarding and reporting any concerns regarding students to the DSP or a Deputy Safeguarding Officer. Your safeguarding responsibilities mean that you will need to:
- Demonstrate a commitment to promoting and safeguarding the welfare of children and young persons in line with College Policy and procedure.
- Respond and deal with incidents in a sensitive, empathetic and supportive manner, reporting any incidents to the accommodation manager and pastoral team.
- Undertake initial and regular safeguarding training and be willing to undertake additional safeguarding training to enhance professional development.
Terms & Conditions:
Remuneration: £25,500 – £26,500
Working Hours
Morning Shift: 0630 - 1430
Evening Shift: 1200 - 2000
Holiday entitlement: 38 days (inclusive of the 8 normal bank holidays)
Notice period: 1 month
Probationary period: 6 months reviewable at discretion of CSFC
Pension: Inclusion in the Cardiff Sixth Form Pension Plan
Training: Commitment to ongoing training, as required
