Full job description

About the Role

We're looking for an exceptional Executive Assistant to provide high-level support to our Chief Operating Officer (COO).

As a trusted partner to the COO, you will help to ensure the smooth and effective running of a large and complex operational portfolio. You will play a key role in managing priorities, coordinating activity, and enabling strategic objectives to be delivered successfully.

You will work closely with senior leaders and a wide range of internal and external stakeholders, including trustees, commissioners, regulators and partner organisations, ensuring excellent communication, organisation and professionalism at all times.

Key Responsibilities

Manage the COO's complex diary, ensuring effective prioritisation and use of time.
Maintain forward plans and monitor key milestones, deadlines and actions.
Prepare daily and weekly briefings, action trackers and decision logs.
Coordinate and quality assure meeting agendas, papers and supporting documentation.
Take accurate minutes and ensure actions are tracked and completed.
Organise meetings, visits, events and travel arrangements.
Prepare presentations, reports, briefings and other executive documentation.
Act as a key point of contact for internal and external stakeholders.
Handle confidential information with discretion and professionalism.
Raise purchase orders, process invoices and maintain accurate records.
Support the wider senior leadership team and contribute to effective cross-organisational working.

About You

You'll be an experienced Executive Assistant who thrives in a fast-paced environment and enjoys working proactively to support senior leaders.

Proven experience supporting senior executives at CEO, COO or Director level.
Outstanding organisational and time management skills.
Excellent written and verbal communication skills.
Strong interpersonal skills and emotional intelligence.
Exceptional attention to detail and the ability to manage multiple priorities.
A proactive, solutions-focused approach and the confidence to work independently.
Experience handling sensitive and confidential information.
Strong IT skills, including Microsoft Teams, Word, Excel, PowerPoint, SharePoint and Zoom.

Experience within a charity, public sector or similarly complex organisation would be highly advantageous.
