Full job description

Job Summary

We are seeking a proactive and organised Medical Receptionist/Administrator to join our healthcare team as part of a Level 3 Business Administrator Apprenticeship. This paid apprenticeship offers a fantastic opportunity to develop essential administrative skills within a busy medical environment. You will be the first point of contact for patients and visitors, ensuring smooth day-to-day operations while gaining valuable experience in healthcare administration and business management. The role is perfect for motivated individuals eager to kick-start their career in the health sector with structured training and support.

Medical Reception (majority of the role)

Welcome patients warmly and professionally at the front desk.
Manage appointment bookings, cancellations, and queries using clinical systems.
Handle high‑volume incoming calls, directing patients appropriately and using triage guidance.
Support our MDT triage team by processing all online consultation requests.
Check patients in for appointments and monitor waiting room flow.
Maintain accurate patient records, ensuring confidentiality and GDPR compliance.
Provide clear information to patients about services, clinics, and practice procedures.
Work flexibly to support reception cover during staff leave or sickness.

Administrative Support

Scan and code patient documents into medical records following clinical governance standards.
Support patient queries submitted via the practice website.
Assist the management team with general administrative tasks.
Help maintain organised digital and paper filing systems.

Requirements

Willingness to complete a Level 3 Diploma in Business Administration.
Excellent communication and interpersonal skills.
Strong organisation and attention to detail.
Confident using Microsoft Office (Word, Excel, Outlook).
Ability to work independently and as part of a supportive team.
A positive, patient‑focused attitude.
